## AI question data-minimization check

Minimize sensitive inputs while preserving the evidence needed for a business question.

No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

| Question purpose | Minimum needed facts | Sensitive details excluded | Authorized source | Output audience | Reviewer |
| --- | --- | --- | --- | --- | --- |
| Compare two expense scenarios | Aggregate costs and assumptions | Bank and customer identifiers | Reviewed financial summary | Owner only | Bookkeeper |

- Use one row for each item described in the article.

- Record the source, unresolved difference and next action before marking an item complete.

- Review the actual business records separately. This worksheet does not connect to accounts or change your records.

A useful AI question rarely needs the whole customer file. Comparing two operating scenarios? Aggregate amounts and clear assumptions may be enough. Improving pickup instructions? The approved process matters more than a customer's phone number. Start with the question's purpose, then include the least information that supports it. Keep the answer focused and cut unnecessary copies of private business data.

A private-sounding file label does not describe who opens the link. Ask about the actual storage and access behavior.

## Name the decision before selecting the input

Write one sentence about the decision or draft you need. Then list the facts needed to answer it. For a pricing scenario, that might include illustrative job value, variable costs and assumptions. For a review-theme question, it might include the theme and source period. Don’t paste a full statement or customer history just because finding the right figure takes another minute.

The [Blù AI business advisor](<https://bluefinchadvisors.com/toolbox/blu-ai-business-advisor>) uses the sources available to the enabled account. Before adding more material, check the What Blù can see information. A connected source and a copied document are different ways to provide information. Understand the account’s actual controls. Don’t assume every input is temporary, or that the public demo accesses private records.

## Use references where identities add no value

An internal job code can preserve the ability to find the real record without putting a customer’s personal details in a planning worksheet. Aggregate counts can support workflow discussions without exporting names. The FTC advises businesses to keep only needed sensitive information and limit access. Apply that principle to AI prompts, exports, and notes created after the answer.

As an illustrative example, ask how to investigate three unmatched deposits totaling $1,240 using nonpersonal references and verified source categories. The AI can help organize your steps without receiving a bank account number. But the actual reconciliation still happens in authorized financial systems. Leaving out identifiers doesn’t remove the need to verify the underlying amounts.

## Know where the output will go

A private owner note, a staff instruction, and a public blog draft aren’t for the same audience. Tell the advisor what you need. Then check the result for accidental disclosure before sharing it. The response may repeat details from your question, so keep the input small and review the output too.

The [BlueFinch business dashboard](<https://bluefinchadvisors.com/toolbox/business-dashboard>) helps you find the right workspace and check source status. But that doesn’t mean every team member should see every financial or customer record. Set review and publication roles in your actual business tools. Don’t handle a permissions question by exporting a broad report into shared chat, where more people can read it.

## Retain only the useful decision trail

Record the business question, source reference, approved answer, and next action. Avoid keeping multiple unnecessary copies of the same sensitive input. Blù’s enabled account conversation messages have a stated retention period, while confirmed facts have separate controls. Check those controls directly. Deleting one conversation doesn’t prove every related saved fact disappeared.

NIST’s AI risk-management resources encourage evaluating risks in the actual use of AI systems. For an owner-run shop, keep the routine simple: minimize inputs, verify consequential answers, and control who sees them. If a question requires regulated or highly sensitive material, bring in the responsible qualified person and use the approved workflow. Don’t force it into a general advisory conversation.

Check attachments, not just typed text. Even a short prompt can expose unnecessary details if it includes an unfiltered export with hidden columns or unrelated records.
