## Loyalty pilot readiness sheet

Test enrollment, permissions, redemption and support with a small approved pilot. Use a launch worksheet before a broader customer invitation.

No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

| Pilot step | Expected behavior | Observed result | Terms or permission evidence | Issue owner | Ready for wider launch |
| --- | --- | --- | --- | --- | --- |
| Optional enrollment | Clear separate consent | Not tested | Form-v1 | Owner | No |

- Starting values are fictional examples, not customer records.

- Keep confidential evidence in your approved business systems. Record only a reference here.

- Complete each row from observed evidence. A completed worksheet does not certify legal compliance or provider compatibility.

- Export your CSV to approved storage before leaving this page.

A loyalty launch should begin with a working customer experience, not a huge contact upload. Test how people join, understand rewards, change preferences, and redeem benefits before inviting your full customer base. A small approved pilot reveals confusing wording and staff handoffs while the owner still has time to fix them.

A redeemed reward has a cost even when the customer already planned to return. Check the credit against the contribution left on the job.

## Confirm the program is ready

Check account eligibility, the reward you choose, the accepted terms, and the available communication channels. BlueFinch Rewards comes with no extra software cost for eligible merchant accounts. But [rewards and discounts still cost the business](<https://bluefinchadvisors.com/blog/set-a-repair-shop-loyalty-reward-without-discounting-your-labor-away>). Program activation, customer permission, and channel readiness are separate checks. Texting also requires applicable carrier registration.

Use the [customer loyalty tools](<https://bluefinchadvisors.com/toolbox/customer-loyalty>) to check your enabled workspace. Don’t assume a public demo matches a live account. Confirm where check-ins go and verify the printed material. A sample customer in a demo doesn’t prove your enrollment, messages, or redemption work. Don’t invite real customers until you’ve completed the required activation steps.

## Test one journey from beginning to end

Use a provider-approved test method, or run a pilot with clear information and proper permission. Walk through the invitation, enrollment, permission choice, reward explanation, and redemption record. Then ask the person to explain the offer in their own words. If they misunderstand what they earn or when they can use it, fix the wording before you reach more people.

An illustrative repair shop’s draft card promises “free service reward” but never says which service qualifies. Staff give three different answers during practice. That’s not a software defect. The offer is undefined. Run a pilot and catch the gap before customers expect a broad promise the business never meant to make.

## Include the uncomfortable cases

Test other common situations too: someone declines marketing, asks you to stop messages, already has an account, or can’t use the QR code. If the program works only for easy sign-ups, it’s not ready. Keep a regular assisted option available. And don’t let staff pressure customers to join or withhold ordinary service or receipts.

Commercial email has to meet the FTC’s requirements. That means truthful identification and a working opt-out. Membership doesn’t take away that right. Check how preferences actually work, not just whether the form has a consent sentence. The record and what happens later should match the customer’s choice.

## Keep rewards separate from reviews

Don't tie the pilot reward to a Google review or any particular star rating. The [review management tools](<https://bluefinchadvisors.com/toolbox/review-management>) are separate from loyalty benefits, and customers should get the accepted program benefit under its terms, whether or not they post public feedback. Ask privately how usable the pilot was. Don't turn that into a compensated public endorsement.

The worksheet tracks every test step, expected behavior, actual result, evidence reference, and issue owner. Use fictional or internal references, not personal contact details. A checked box means that specific test is done. It does not certify every possible workflow. Write down unresolved issues clearly, and hold the broader launch if they affect the promised experience.

Get someone who didn’t help create the offer to test it. They’re more likely to catch a missing instruction the setup team fills in from memory. Write down their question in plain words, revise the material, then ask a new tester to follow it without anyone explaining what the business intended.

After the pilot, fix the material, train the front desk, and repeat the failed steps. Then expand in a manageable group, with someone responsible for support. Track real enrollment and redemption issues during those first weeks. A careful launch gives the included software a useful job from day one. Otherwise, the owner gets stuck explaining confusing offers after hundreds of invitations are already out.
