## Payment connection-outage plan

Understand what a QR code does during a connection failure and prepare an approved alternative collection process. Includes an outage worksheet.

No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

| Failure observed | Affected route | Approved alternative | Uncertain attempts checked | Support owner | Customer instruction |
| --- | --- | --- | --- | --- | --- |
| Checkout page not loading | QR destination | Confirm terminal connectivity | Pending | Manager | Pause repeated attempts |

- Starting values are fictional examples, not customer records.

- Keep confidential evidence in your approved business systems. Record only a reference here.

- Complete each row from observed evidence. A completed worksheet does not certify legal compliance or provider compatibility.

- Export your CSV to approved storage before leaving this page.

A printed QR code still scans when the shop's internet is down. But the customer's device needs a working connection to open the payment page. So don't call QR checkout an offline payment system. Have an approved fallback ready, and a way to check uncertain attempts before a busy pickup period turns into repeated charges or unpaid releases.

Review offline repair-shop card payments before vehicle pickup. Track device status, provider upload limits and confirmed payment outcomes in one worksheet.

## Identify which connection failed

Keep the shop network, the customer’s mobile connection and the payment service separate. If one fails, that doesn’t prove the others failed. Ask staff to report the observed symptom, such as the destination not loading or the provider status remaining unavailable. Don’t say “payments are down” until you know which route is affected.

BlueFinch's [QR payment tools](<https://bluefinchadvisors.com/toolbox/qr-payments>) encode a web address that opens the configured checkout. They do not create offline authorization. The [online payment tools](<https://bluefinchadvisors.com/toolbox/online-payments>) likewise depend on the actual published service and approved account configuration. Confirm the supported contingency with your provider before promising an alternative collection route.

## Do not improvise sensitive workarounds

Even when the page won't load, never write down card security codes or ask customers to text full card details. Use only the provider's approved process for any alternate payment method. A personal wallet account or employee device isn't automatically a proper business fallback. The account, pricing, and recordkeeping still need to be correct.

For an illustrative tint shop, the office Wi-Fi is down, but a customer still has a functioning mobile connection. The published page may load, yet staff can’t verify the merchant record from their usual computer. So the problem isn’t just opening checkout. It’s verification. Follow the approved process. Don’t assume a customer screenshot is enough.

## Check interrupted attempts before retrying

If a submission began before the connection dropped, check its status. A blank screen does not establish that nothing happened. Stripe's documentation separates provider payment records from confirmation and receipts, so check the original transaction. What happens next depends on your provider’s status process.

Have one employee track uncertain attempts, so another shift does not collect again without knowing the history. Record internal references and the observed time. Keep private card and customer data out of the public outage worksheet. Keep sensitive evidence in the approved business system.

## Explain the customer options honestly

Tell the customer what’s unavailable, which approved alternatives work, and when the shop will update them. Don’t promise immediate restoration or settlement without evidence. If there’s no supported collection route, follow the business’s approved release and scheduling policy. Don’t invent a new one under pressure.

The worksheet records the failure, affected route, alternative, uncertain-attempt check, owner, and customer instruction. Test the plan in a controlled practice session, using the provider’s safe process. And make sure staff know where to find support details if the office computer can’t reach the internet.

Keep essential support contacts and procedures available through an approved route that does not depend entirely on the failed office connection. Don’t stash credentials in an unsecured printed note. Employees need the right contact and steps to investigate the outage, not personal accounts or improvised ways to collect payments.

When service returns, reconcile every uncertain attempt before you close the incident. Remove temporary instructions, then make sure payments go to the normal destination again. A quick review of what failed often reveals whether you need better contact details, a clearer release policy, or another approved connection option. The QR image gets customers to checkout. But a solid outage plan also covers the records and decisions that still need to work behind it.
