## Missing receipt investigation

Separate payment status from receipt delivery and verify the correct contact route. Use a receipt-investigation worksheet without charging twice.

No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

| Order reference | Verified payment status | Receipt setting checked | Approved contact reference | Resend action reference | Customer update |
| --- | --- | --- | --- | --- | --- |
| Invoice-example-4 | Captured per provider | Pending | Customer record checked privately | None yet | Payment verified, receipt check pending |

- Starting values are fictional examples, not customer records.

- Keep confidential evidence in your approved business systems. Record only a reference here.

- Complete each row from observed evidence. A completed worksheet does not certify legal compliance or provider compatibility.

- Export your CSV to approved storage before leaving this page.

No receipt? That doesn’t mean the payment failed. Check the provider’s transaction record before asking the customer to pay again. Payment status, receipt generation, and email delivery are separate events. Mix them up, and you could charge twice when the real problem is just a wrong address or receipt setting.

Check that vehicle delivery, the current payer breakdown, customer payment and release record are connected.

## Start with the verified transaction

Find the approved invoice and matching provider payment reference. Check the amount, merchant account, and current status. A customer email or bank screenshot might help identify the transaction, but your team needs the provider’s actual record before deciding what to collect. Not sure about the status? Follow the provider’s investigation process.

Stripe separates payment tracking from receipt delivery and notification settings in its payment-link documentation. Those details are Stripe-specific, but the distinction matters for every shop. Ask your configured provider how successful payments, pending activity, and receipts show up. Don’t assume a general “thank you” page or a missing email settles it.

## Check the receipt setup

BlueFinch's [online payment tools](<https://bluefinchadvisors.com/toolbox/online-payments>) let you set receipt contacts, but how receipts and notifications actually work depends on the payment service. Check the business contact on file and confirm the customer-receipt process it supports. Changing the page design won’t necessarily change every processor notification setting.

For an illustrative body shop, the provider shows a completed payment for the correct amount, but the customer’s receipt address has a typo. The body shop should verify the right contact through its normal process, then resend the receipt using the provider’s supported method. Don’t collect a second payment just to trigger another email.

## Protect customer information during correction

Don't read a full email address aloud in a busy waiting room or paste customer details into a public troubleshooting worksheet. Verify the contact privately, then record the correction in the approved system. If the receipt went to the wrong person, follow the business's privacy and incident procedure to escalate it. Don't treat it as just a routine resend.

Don’t put payment details in ordinary email when they don’t belong there. A receipt support message shouldn’t ask for your full card number, security code, or bank credentials. Use the actual provider’s secure support process for sensitive information. The staff member handling the case should know where to find the instructions.

## Reconcile the business record independently

Update the invoice using verified payment evidence, not whether the receipt reached the customer. The [Books workspace](<https://bluefinchadvisors.com/toolbox/bookkeeping>) organizes supported financial records, but deposits and receipts still need proper reconciliation. An emailed receipt doesn't replace matching the payment to the right invoice and accounting period.

The worksheet tracks the order reference, verified status, settings check, contact reference, resend action, and customer update. Record an internal reference, not personal information. Give one person ownership so multiple employees don’t trigger resends or start separate payment attempts while the customer waits.

If your business uses a shared receipt inbox, confirm which employee watches replies and whether automated filters move legitimate questions out of view. A customer who replies to a receipt should reach the stated support process. Keep this inbox check separate from payment reconciliation, so fixing the inbox doesn’t accidentally change the status of a collection that’s already complete.

Finish by telling the customer what’s verified and what’s still in progress. For example, the payment is recorded, and the team is correcting receipt delivery. Don’t promise an exact inbox arrival time you can’t control. Check recurring cases for a bad template, unclear address entry, or misconfigured setting. Fixing the receipt process should make proof of payment easier for customers to obtain without creating another collection problem for them.
