## Bookkeeper handoff map

Structure an accounting evidence handoff with access scope and source ownership.

No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

| Record category | Required period | Authorized access route | Missing evidence | Responsible contact | Access review date |
| --- | --- | --- | --- | --- | --- |
| Monthly processor report | October | Approved secure document route | One settlement reference | Office manager | After close |

- Use one row for each item described in the article.

- Record the source, unresolved difference and next action before marking an item complete.

- Review the actual business records separately. This worksheet does not connect to accounts or change your records.

Your bookkeeper needs the right records, not your personal login. A rushed handoff often sends a full inbox of statements while leaving out the one invoice needed to resolve the books. Set the handoff around a period, record categories, and specific questions. That keeps the work focused and cuts unnecessary copies of financial information. The same process helps when the owner handles most office work and delegates only the monthly review.

## Agree the question before collecting documents

First, ask what the reviewer is actually checking: routine categorization, reconciliation, migration verification, or a specific discrepancy. Each task calls for different evidence. If they’re asking about one processor deposit, you may need the settlement report and bank entry, not every customer invoice from the year. Write down the period they requested and what evidence is missing before you gather files.

The IRS says supporting documents back up business entries. Keep them organized by period and type, so reviewers can follow the source trail. Don’t label every file “final” and lose its real identity. Clear references help the office answer follow-up questions without starting the whole search again.

## Use individual, scoped access where supported

Check the permissions in your actual tools. Use an authorized user or approved document-sharing route. Don’t email a password. Give people access that fits their work. If a product doesn’t offer the role you need, ask for a safe alternative. Don’t assume a shared owner login is the only way to work together.

The FTC recommends limiting access to sensitive information to people with a business need. That goes for financial exports and software accounts, too. Strip unnecessary personal, card, and employee details from coordination notes. The public handoff worksheet needs record categories and references, not bank account numbers or images of customer payment cards.

## Make unresolved items easy to answer

Suppose an illustrative handoff includes 40 expense entries, with three unclear business purposes and one missing supplier invoice. Send the bookkeeper the reviewed entries and a four-item question list, with the right person named for each. Asking the owner to reread all forty entries wastes attention and makes a quick guess more likely.

The [Books bookkeeping workspace](<https://bluefinchadvisors.com/toolbox/bookkeeping>) helps with record review, but it doesn’t provide a CPA or file taxes. Your [BlueFinch advisor service](<https://bluefinchadvisors.com/toolbox/dedicated-advisor>) should clarify account setup and available access routes. The person handling your accounting decides how to treat the finances. Keep that clear, so onboarding isn’t mistaken for professional approval of your books.

## Close the handoff and review access

Once the work is done, get the corrected report or resolution reference and note which questions remain. Check that the source workspace has the approved changes, not just an emailed spreadsheet. If the work was temporary, see whether access is still needed. Follow your retention requirements for source documents, and remove unnecessary duplicate exports from shared folders.

Plan the next handoff around how closing really works. A consistent file structure and question format make later reviews faster because both sides know what to expect. Don’t claim a set time saving before you measure your routine. Track the number of unresolved items and days to resolution, then adjust the handoff when repeat requests point to a missing document or unclear responsibility.

For a one-off discrepancy, ask something short: has the supplier credit already been applied? Send the reviewer the invoice and credit references through the approved route. Be precise. That helps prevent a second adjustment when the first correction is already elsewhere in the records.
