## The short version

- Record the package sale separately from each session used.

- The value assigned to unused sessions does not by itself establish a refund right.

- Apply approved adjustments to both the payment record and the session balance.

A client buys six laser hair removal sessions, uses two, then asks to change the treatment area or end the package. The receipt tells you what the client paid. The calendar lists appointments. You still need to know how many sessions remain and whether anyone has already adjusted the account.

A package ledger connects the sale terms with the sessions used. Keep treatment records in your clinical system. For the payment worksheet below, use package references and session counts; leave out clinical notes and treatment details that identify a patient.

### [Med spa processing-cost calculator](<https://bluefinchadvisors.com/calculators/med-spa-processing-fee-calculator>)

Estimate the cost of collecting payments without mixing it with the balance of sessions still owed.

### [Med spa membership calculator: check capacity and redemption costs](<https://bluefinchadvisors.com/tools/med-spa-membership-capacity-calculator>)

Regular dues don't tell you how much provider time redemptions need. Check collections and service demand before enrolling another group.

### [Med spa device calculator: find operating break-even](<https://bluefinchadvisors.com/tools/med-spa-device-break-even-calculator>)

Dividing a device payment by the menu price overlooks session delivery costs. Compare contribution per session with the slots you actually have.

Before explaining a partial refund for three different services sold at one price, document how that price was allocated.

## Record the sale before recording sessions used

Start with the package name, included services, session count, price, discount and version of the terms. Give the client a receipt and terms they can find and understand for bookings, transfers, changes and cancellations. Before checkout, confirm which package covers the next visit.

Square documents package purchases, redemptions and refunds separately. Keep that distinction in your own system so an included visit doesn't trigger another charge after the client has paid for the package. If the client buys an extra service, show its separate price before taking payment.

## Show how each visit changes the session balance

Date each session redemption and link it to an appointment. Distinguish booked visits from completed ones: reserving time doesn't necessarily mean the client received a service. Handle late cancellations and no-shows under your disclosed policy and the applicable requirements.

Keep the original entry when reversing a redemption, then add the correction. If staff simply delete the appointment, you may struggle to explain a disputed balance later. Have a manager approve transfers and exceptional credits so the same adjustment isn't applied twice.

## Example: a six-session package after two visits

Take a fictional $1,200 package with six sessions valued equally for recordkeeping at $200 each. After two visits, $400 is allocated to completed sessions and $800 to the four still unused. Those amounts reflect this accounting method; they don't describe a clinical result or establish an automatic refund right.

Now assume the practice approves and issues a $200 refund and removes one unused session under the agreement. Net collected is $1,000, with two sessions completed and three left. The allocations reconcile as $400 completed plus $600 remaining. Use different entries if your contract or allocation method differs.

| Event | Net collected | Completed sessions | Remaining sessions |
| --- | --- | --- | --- |
| Six-session package purchased | $1,200 | 0 | 6 |
| Two sessions completed | $1,200 | 2 | 4 |
| One unused session removed; $200 refund issued | $1,000 | 2 | 3 |

## Review the request before adjusting the payment

Check the original purchase, sessions used, earlier credits and what the client is asking for. Send clinical questions to the responsible provider and policy decisions to the authorized manager. A payment screen doesn't give front-desk staff enough information to decide clinical suitability.

Package and refund terms vary by practice. American Laser Med Spa discusses unused-treatment calculations in its FAQ, showing how one practice handles the question. Don't treat its policy as a universal template. Decide the remedy using your reviewed agreement and applicable law.

## Use the printable package ledger

Identify the package by its internal reference on this blank worksheet. Store completed records in your approved practice system. Record a refund after approval and add the transaction reference once it has been issued.

| Package record | Count / amount | Reference |
| --- | --- | --- |
| Package and terms version | ________________ | ________________ |
| Sessions originally purchased | ________________ | ________________ |
| Amount collected | $_______________ | ________________ |
| Sessions completed | ________________ | ________________ |
| Session reversals / transfers | ________________ | ________________ |
| Approved adjustment | $_______________ | ________________ |
| Refund actually issued | $_______________ | ________________ |
| Sessions remaining | ________________ | ________________ |
| Net amount retained | $_______________ | ________________ |

## Update the payment and session records together

A refund may not update the sessions available to book, and removing a session may not issue a refund. Check both records. Then confirm the new session balance and any payment adjustment with the client.

Retain the original payment method and refund reference. Check with your processor about original transaction fees, partial refunds, financing proceeds and your approved two-price setup, if any. A worksheet percentage can't tell you what the processor will return or what the client is owed.

## Questions business owners ask

### Does unused package value automatically qualify for a refund?

No. The arithmetic reconciles the records; it doesn't decide the remedy. That depends on the applicable agreement, circumstances and legal requirements.

### Should booking a visit immediately reduce the package balance?

Keep reservations distinct from completed redemptions. Use your documented booking and cancellation process, and retain reversal entries so staff can explain the balance.
