Start with your records
List payment processing, software, website, reviews, payroll, materials, rent, phone, internet, insurance, bookkeeping and other expenses from one month. Enter known replacement costs to compare alternatives. You do not need to be a BlueFinch customer.
A consistent month
Use revenue, settled card volume and expenses from the same representative month and accounting basis. Convert an annual subscription to its monthly equivalent. Values are USD; the model accepts nonnegative amounts up to $100 million per field with two decimal places and up to 30 expense lines.
Count each bill once
Known monthly expenses are the sum of entered current costs. A row marked as included in another bill is excluded from every total, including its proposed cost and one-time costs. Put the complete current and replacement costs on the parent bill. A blank current cost remains unknown, not zero.
Compare actual alternatives
Monthly cost difference is current cost minus proposed cost, summed only for lines with both values entered. Cost increases offset reductions. A blank proposed cost does not mean free; unpriced bills stay at their entered current cost in the scenario. Compare equivalent features and all remaining fees, not just advertised rates.
First year and payback
Annualized cost difference is the monthly difference multiplied by 12. First-year difference subtracts entered one-time setup, equipment, cancellation and migration costs. Simple payback is total one-time costs divided by the positive monthly difference. The model assumes changes take effect immediately and twelve identical months. It does not model seasonality, delayed contract exits, inflation, financing or tax effects.
A working margin, not verified profit
Revenue minus listed expenses is shown separately from profit. The entered expense margin is that remainder divided by revenue, multiplied by 100. It appears only with positive revenue, no missing current costs and your confirmation that the expense list is complete. This does not independently verify the records or produce financial statements, cash flow or tax advice.
Processing effective rate
Effective rate is the total counted processing expense divided by positive settled card volume, multiplied by 100. Include all fees for the same period and transaction mix. It is a measured cost ratio from your entries, not an assessment that a rate is good or bad and not a BlueFinch quote.
No signup or upload
The calculator runs in your browser. It does not send your entered figures or answers to BlueFinch, save them in browser storage, or put them in a share link. Reloading clears the scenario. CSV downloads and printouts include the inputs and assumptions; you decide whether to share them.
Clearly labeled examples
The optional example uses a fictional repair business with invented costs and proposals. It shows how the math and bundled bills work, not a customer result, industry benchmark or BlueFinch price. If you edit it, the edited-example label stays until you clear it.
Could BlueFinch replace a subscription?
Eligible merchant accounts may include tools that overlap with software you already pay for. Check the individual product page, required features, account eligibility and written terms first. This audit never assumes a subscription can be canceled or replaced at no cost.
