Wrap shops do not need a generic retail checklist. They need to test the moments when money and production commitments meet: quote, design, material, print, installation, change order, final balance, delivery, and warranty record.

Use this checklist with the processor or acquirer and the shop's professional advisors. State laws, contracts, card-network rules, and the approved account still control the final setup.

Review the commercial offer

  1. Calculate the current effective rate from complete statements and settled card volume.
  2. Separate retail cards, commercial cards, debit, fleet checks, ACH, financing, and open invoices.
  3. Obtain every remaining fee, equipment term, contract term, cancellation condition, and remote-payment cost in writing.
  4. Confirm treatment of credit, debit, prepaid, wallets, keyed cards, text-to-pay, refunds, and split tenders.
  5. Confirm the regular card and lower cash price presentation for each supported channel.

Update the wrap project documents

Keep the customer-facing terms consistent. Do not use an approved quote with a payment link that calculates a different amount or a receipt that uses a different label.

  • Quote with vehicle, scope, material, exclusions, both prices, and payment schedule.
  • Deposit purpose and cancellation or refund terms.
  • Dated design proofs and authorized approvals.
  • Production or material approval and written change orders.
  • Remote payment request tied to the current invoice.
  • Final invoice, receipt, completion, delivery, care, and warranty records.

Run the transactions that occur in a real wrap job

Test an in-person credit sale, debit card, digital wallet, remote deposit, remote change payment, fleet commercial card, split tender, void, full refund, partial refund, and final balance after prior deposits. Confirm the written prices before payment and save each receipt.

Create one sample project from quote through delivery. Reconcile the total, deposits, approved changes, collected amounts, settlement reports, and refund behavior. Fix any double-counted deposit or mismatched price before accepting a live job.

Train sales, design, production, and front counter together

The sales person may quote the prices, a designer may request another payment after a revision, and an installer may collect the final balance. Everyone needs the same current invoice and approved explanation.

Assign one owner for pricing documents and one for payment reconciliation. Give staff a clear pause-and-verify path when a tender or channel behaves differently than expected.

Audit the first week and first three statements

  • Compare quotes, links, terminal amounts, receipts, and settlement totals.
  • Review debit, prepaid, wallets, commercial cards, and remote payments.
  • Check that deposits are applied once to final invoices.
  • Review staff wording and customer questions.
  • Calculate the complete new effective cost, including every remaining fee.
  • Correct the process and document the change.

Questions business owners ask

Can the shop keep its existing quote software?

Usually a standalone terminal can sit beside existing software, but direct amount transfer and payment-link integration vary. The customer-facing documents still need the approved prices.

What if remote deposits are not supported?

Do not improvise an off-platform workaround. Ask the provider for an approved channel or keep that payment outside the proposed setup until it can be handled correctly.

When is the launch complete?

After documents, tests, training, reconciliation, and the first complete statements confirm the program operates as written.
