A processor report should reach the people who need its bookkeeping data, not every user in the med-spa CRM. Review the actual export permission, included fields and approved storage route. Keep clinical information outside the accounting handoff. Your owner needs a tested report with stable payment references and a documented access decision, rather than a broad admin account shared because exporting looked inconvenient.

Identify the accounting task and necessary access
Ask the bookkeeper which reconciliation question the report needs to answer. A payout summary, transaction detail and refund report serve different tasks. Identify the actual data population and stable references needed. Do not grant payment-administrator privileges merely because the accounting role needs an export. Use the provider’s supported role controls and obtain the appropriate administrator review.
The FTC’s information-security guidance recommends limiting sensitive information to business need and reviewing service-provider practices. Apply those general principles through the med spa’s designated access process. This article does not certify an export satisfies health-record, payment or contractual requirements. Qualified reviewers must assess the actual fields, systems and destination relevant to the business. Inspect the exported fields safely
Use a supported safe test or approved redacted sample to review the report. Confirm what each identifier and amount represents before importing it. A provider transaction, booking invoice and payout reference might not use the same identity. Keep the mapping documented without including customer names, credentials or unnecessary service labels in the public worksheet.
The export checklist records the report type, authorized role reference, included-field review, stable payment-ID result, approved storage route, access verification evidence and owner. It does not download processor data or revoke permissions. Filled fields document the review handoff, not a security guarantee. The actual provider controls and controlled evidence establish the tested result.
Check a fictional role and repeated export
Suppose a fictional bookkeeper needs payment IDs and aggregate amounts for a daily reconciliation. The administrator reviews a supported reporting role rather than sharing unrestricted payment credentials. The tested export preserves the stable collection IDs. If the same deposit appears in two exported date ranges, importing both should not create another receipt. Record the duplicate check through the accounting system’s supported procedure.
A refund or reversal has its own commercial and provider state. Stripe’s documentation explains separate refund statuses and merchant-balance funding for its supported process. Do not infer a completed customer refund merely because an exported invoice amount is lower. Keep the actual correction identity and status tied to the original collection, while excluding private clinical narratives from the proposed bookkeeping file.

Verify the role and destination after changes
Ask the administrator to verify the approved role can perform the necessary task and cannot perform actions outside its reviewed authority through the supported controls. Do not run unauthorized charges as a permission test. Record the actual configuration and remaining question. A role name alone does not establish the permissions currently applied to the account.
Recheck after a provider, role, report format or storage change. Remove departing-user access through the supported process while preserving approved business records. The owner needs a usable accounting report and limited authorized access, without customer detail spread across marketing exports. Avoid claiming every processor supports identical roles or that a completed public checklist certifies the entire med spa’s security and privacy practices.
