Measure missed capacity before setting a fee
The example uses 300 appointments, a 6% no-show rate and a 25% backfill rate. It counts only openings that remain empty after backfills. Deposits are shown separately from appointment contribution recovered.
Base a no-show policy on lost capacity. For a representative period, count scheduled appointments, late cancellations, no-shows, openings you backfilled, deposits collected, charges waived, refunds and disputes.
For med spas, use the right payment totals. Count settled card sales and deposits paid by card only once. Leave out cash, checks, ACH, financing proceeds, insurance payments, gift-card redemptions and uncollected balances.

Pause if the statement, written price, customer documents, terminal or receipt disagree. Before the medical spa launches, its processor or acquirer should approve the specific setup.
