Statement reading verification sheet
Validate extracted statement fields against the original document before using effective-rate arithmetic.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

- Use one row for each item described in the article.
- Record the source, unresolved difference and next action before marking an item complete.
- Review the actual business records separately. This worksheet does not connect to accounts or change your records.

Statement reading saves you typing, but one missed zero can turn a sensible estimate into nonsense. After the upload, check every extracted figure against the original statement before you discuss savings. Pay attention to the period, settled card volume, and total assessed fees. A checked analyzer result matters more than a fast one. Keep unresolved fields visible, so a great-looking percentage doesn’t hide an unreadable page or a missing charge.

Find Your Effective Processing Rate on a Merchant Statement
Work out what you really pay, rather than relying on a quoted rate. Keep card sales, bank deposits and fees from different months separate.
Check your own costs: calculate your effective processing rate or upload a merchant statement for analysis.
Check the document before checking the math
First, make sure the file matches the right merchant account and reporting month. Include every relevant page, especially fee summaries and adjustments. A cropped image or partial PDF can leave out details you need for a full comparison. If the source isn’t clear, get a clearer statement. Don’t guess the missing digits.
The merchant statement analyzer handles up to three PDF, JPG or PNG statements in your browser, up to 15 MB each, and lets you edit the figures. Quick Quote reads files in the browser, then its disclosed follow-up workflow sends BlueFinch a copy of the added statements and quote. So don’t assume uploads stay entirely on your device. Review the disclosure before adding files.
Verify the fields that control the result
Match settled card sales to the same period as the fees the processor assessed. Check whether the statement breaks out gross sales, refunds, net deposits, and other amounts. Those numbers aren’t interchangeable. A bank deposit after fees isn’t automatically the card-sales denominator. If a label’s unclear, ask the processor what it means before accepting the extracted value.
In an illustrative example, here’s the catch: $1,500 in fees on $50,000 in settled card sales works out to a 3% effective rate. But if reading software drops a zero and records $5,000, you get 30%. The formula’s fine. The input isn’t. And a plausible-looking result still needs checking. Smaller errors can slip by unnoticed and materially change the comparison.
Find omitted or repeated fees
Read the full fee section and separate the charges. A summary may repeat fees listed elsewhere, and adding both means you’ve counted them twice. But take only the headline discount and you may miss monthly or transaction charges. Keep a short source trail showing where each fee came from and why it belongs in your total.
Stripe’s payout documents show that a payment batch can include fees, refunds, and other balance changes. Your provider may use different terms. Check the statement and settlement records to separate assessed fees from returned sales or reserve movements. Not every reduction in cash is a processing expense, and expenses may show up in different parts of the document.

Keep the estimate separate from the offer
A verified effective-rate calculation covers its source period. It is not an approved new rate or a guarantee that every charge will disappear. Use the BlueFinch advisor service to review the complete written terms, remaining costs, payment methods, and account requirements. Even a 0% eligible merchant credit-card rate needs the rest of the proposed account costs explained.
Prefer not to upload a statement? Type the figures into the manual decoder instead. Check them just as carefully. Keep private statement details out of the public worksheet, and use internal references. The FTC recommends limiting sensitive information to what the business purpose requires. Save your checked inputs and open questions, so the follow-up starts with evidence instead of repeating the whole reading process.
If the page is rotated or faint, fix the source before trying to read it again. Accepting uncertain digits over and over won’t make the estimate any more reliable.
