A tint complaint and a card dispute need separate records. Start the dispute response from the payment provider’s actual notice, not the date of a warranty conversation. Assign an evidence owner and final submission owner. Your shop should answer the stated dispute reason while keeping any open service appointment or approved refund visible through its own supported process.

Match the dispute to the specific collection
First identify the original deposit, pickup balance or other payment which was referred to in the notice. A customer’s entire tint package could consist of several collection references. Retrieve the disputed amount, the stated reason for the dispute and the actual response deadline from the relevant provider’s record. Do not assume a universal deadline as may be listed in another account’s guide. An inquiry may require a different course of action to a formal dispute.
Stripe’s dispute documentation explains reason-specific evidence and limited response windows. It also describes the distinction between inquiries and formal disputes. Those instructions do not prove every terminal provider follows the same workflow. Use the relevant account’s documented route and retain the notice reference. A staff email saying “customer called” does not establish which card collection is being challenged or when the response is due. The tint warranty and dispute evidence guide separates service documentation from a card response.

Choose evidence addressing the stated reason
Retrieve the accepted film and coverage scope, payment authorization evidence and completion or pickup record relevant to the claim. Keep a warranty inspection separate from a promise about dispute outcome. A customer returning for a service question does not automatically prove an unauthorized charge or establish that every allegation is unfounded. The actual records should support the response without invented signatures or customer statements.
The dispute handoff sheet records the notice reference, original collection, stated reason, actual deadline, evidence owner, final submission owner and provider confirmation. Use internal codes only. Customer contacts, vehicle details and private evidence stay inside approved restricted storage. The public tool does not submit the response or decide the dispute. It makes the deadline and missing handoff visible to the office.
Review before the provider’s final action
Check permitted evidence formats and limits through the actual provider. Ask an authorized reviewer to compare the package with the stated reason and remove irrelevant private information. Stripe’s Dashboard process does not allow edits after final evidence submission. That limitation is specific to the documented process. Do not treat an internally saved draft or folder as proof the final provider action occurred.
Consider a fictional notice with an October 24 deadline and an October 22 internal review. The office assigns the installer to retrieve the completion reference and the payment administrator to submit the reviewed response. Those dates are illustrative, not recommended provider deadlines. If a required record is missing, flag the gap and obtain guidance rather than marking the response complete because the installer remembers the job.

Keep related refunds and service tasks visible
Before another refund, check the original collection for pending corrections and dispute status. Stripe explains the risk of refund/dispute overlap, while other providers require their own instructions. A warranty appointment, accepted invoice credit and completed card refund remain different events. Use the supported account procedure instead of issuing a second payment to close an uncomfortable customer conversation.
Record the provider submission confirmation and later outcome separately. Reconcile any reversal, refund and applicable fee with the shop ledger. A response submitted on time does not guarantee recovery. Review repeated cases to improve scope and pickup documentation without claiming every chargeback is preventable. The owner needs a clear deadline and responsible person alongside the actual service handoff, not one overloaded task labeled “customer problem.” The PPF supplier-credit and refund ledger keeps a related material return separate from the customer correction.
