A failed wellness renewal needs an assigned exception owner who checks the provider’s retry state before billing manually. A CRM reminder does not show every scheduled payment attempt. Retrieve the original collection, queued retries and accepted membership agreement. Your office should know which action remains supported and which requires review, rather than creating a second charge while the first workflow is still active.

Retrieve the actual attempt and queued state

Match the renewal to its membership reference, accepted invoice and provider attempt identity. Identify whether the state is failed, unresolved or scheduled for another supported attempt. Do not treat a temporary pending entry as a final decline. The booking platform and provider might display different milestones. Preserve the original reference and retrieve the actual account-specific instructions before another action.

Ask the administrator which system owns automatic retry scheduling and how staff verify the next attempt. Do not assume every provider retries the same number of times or at the same interval. A manually sent payment request might coexist with a scheduled retry. Record the supported state and any approved cancellation procedure before the office creates an overlapping collection. The wellness renewal payment-cost model separates account expense from the actual retry outcome.

Review permission separately from stored credentials

Look up the current terms and conditions for the membership and the relevant payment authorisation for the method saved for the member. Ask the commercial and payment roles who are authorized for the membership for approval for the supported next action. Note that this article does not attempt to provide general notice and cancellation procedures for recurring payments, these will be dictated by the specific agreement and requirements.

The exception register records the membership reference, original attempt identity, verified provider state, queued retry status, accepted permission reference, approved next action and owner. Use internal codes and no card credentials or private health detail. It does not cancel retries, update a payment method or create consent. Filled fields document the review, not proof the provider action completed.

Prevent a fictional retry from doubling collection

An example of this would be if you processed a fictional $90 ‘wellness renewal’ for a customer and left the front desk to manually process another $90 ‘wellness renewal’ payment for the same customer while the first attempt is left in an ‘unresolved’ state by the provider. The front desk would need to review the first attempt and verify the ‘state’ before attempting to process another collection. If both attempts were to ‘succeed’ then the front desk would have processed a combined total of $180 against the original $90 ‘wellness renewal’ obligation of the customer for example. Note this is a completely fictional scenario and is not a real example of a membership ‘price’, provider ‘schedule’ or a ‘customer’ transaction etc. for example.

If a duplicate is verified, obtain the approved correction and use the actual provider procedure. Stripe’s refund documentation distinguishes processing status and merchant-balance funding. Your account needs its own instructions. Do not reduce the membership invoice and assume the customer received a refund, and do not start another repayment while an existing correction remains unresolved.

Close the exception from the verified outcome

Use the permitted private contact route for the reviewed billing question. If the member needs to update a payment method, use the provider’s supported route rather than requesting credentials through a message. Keep promotional preferences separate from the payment task. A failed renewal does not grant unlimited marketing permission or justify adding private participation details to a CRM note.

After the supported result, reconcile the collection against the accepted obligation and preserve the attempt history. Assign any remaining agreement, refund or membership-access question to its proper owner. Review recurring exceptions by verified cause rather than labeling every failed payment a lost customer. The owner needs one accurate renewal balance and a supported next action, without duplicate billing hidden behind automated reminders. The provider refund-status sheet tracks a reviewed correction if overlapping attempts produce a duplicate payment.
