After a wrap design is canceled, separate the commercial refund decision from the provider’s refund status. Review the accepted design work, production commitments and original collection. Record the approved amount and supported next action. A canceled CRM job or invoice credit does not prove money reached the original payer, and a pending refund should not prompt an unreviewed second payment.

Establish the accepted cancellation decision
Retrieve the relevant design agreement, revision history and any approved print-release decision. Identify what was accepted and which obligations require review after cancellation. Do not assume every retainer is nonrefundable or every cancellation requires a full refund. The actual agreement and applicable requirements govern the decision. This public worksheet organizes the handoff and does not resolve legal entitlement.
Record who reviewed and the controlled evidence reference number for the approved amount to verify. Keep supplier credit separate from customer refund decision. If production has started then obtain supplier’s actual response re whether any costs will be incurred and verify prior design and production records to explain changes to invoice. The wrap cancellation-policy review addresses the commercial decision before a refund attempt.
Trace the original collection before submission
Match the approved correction to the actual provider transaction and payer. A customer might have made separate design and installation payments. Do not pick a transaction solely because its amount is closest to the refund. Check prior refunds, reversals and unresolved disputes attached to the original collection. The payment administrator should use the supported procedure for the account that collected the money.
The cancellation-refund register records the job reference, approved decision reference, original collection reference, approved amount, refund attempt reference, verified provider status and office owner. Use internal codes. Private agreements, artwork, customer contacts and payment credentials remain in approved restricted storage. A completed planning row is not the provider’s receipt and does not prove the approved correction has finished.
Keep pending and failed outcomes distinct
Stripe’s documentation explains that refunds use available merchant balance, return to the original payment method and have distinct statuses. It also addresses failed refunds and refund/dispute overlap. Those instructions describe Stripe’s process. Obtain the actual provider’s answer for your account rather than promising a universal arrival window or switching the repayment method when the first attempt remains unresolved.
Consider a fictional design cancellation with a reviewed $240 refund. The provider records one pending attempt. The office should show $240 awaiting its supported outcome, not $240 returned and not another $240 due for immediate payment. If the attempt later fails, record the failure and provider instruction reference. The example does not establish a wrap-design price or refund policy.

Update the payer from verified evidence
Use the approved contact route to explain the actual status and next step. Keep provider completion separate from issuer posting where relevant. Do not ask the customer to send bank details through an unsecured message because a refund is taking longer than expected. Obtain the required review before proposing any alternative correction, and preserve the original attempt so the office can avoid double reimbursement.
Mark the cancellation as closed when the approved action has been completed, the provider’s response has been recorded and the funds have been applied to the appropriate invoice. Create a new task to track any remaining issues with the supplier or your accounting software. track down the root cause of the cancellation rather than assuming that a refund problem indicates poor work by the designer. Check the design and production allocation ledger when the original collection funded more than one stage.
