A designer leaves and the owner disables the CRM login. Artwork links, shared inbox access and open quote tasks still need a review. Treat staff departure as a system-by-system handoff. The person responsible for each access surface needs an action, a date and evidence of the actual change.

This worksheet gathers internal system references, the departing role, the remaining work owner and required access-review actions. Its rows are fictional. Never enter passwords, API keys, recovery codes or private customer data. The tool changes no account settings. Verify any staff-reported completed action in the actual administrator system.

List the places the role used

Review the systems the departing role used, including CRM, email, artwork storage, approval links and scheduling software. Include shared accounts, connected business accounts and contractor arrangements. A familiar login list is not a complete inventory of data-sharing routes. Check the vendor records with an authorized administrator instead of assuming the list covers every access surface.

The FTC’s information-protection guide recommends limiting access by job need and having a procedure for departing workers. Apply that principle to each actual system. Keep customer contact records and approved artwork where the business is authorized to retain them. Avoid copying the whole library into a personal folder as a shortcut for the handoff.

Assign unfinished customer work before the handoff closes

Identify open estimates, artwork questions and pending customer conversations owned by the departing employee. Assign the work to an appropriate remaining staff member and document the next action. Keep current quote and approved artwork references intact. Preserve continuity so the customer’s next question reaches someone who knows the current project status.

HubSpot’s current offboarding documentation distinguishes deactivation from removal and advises reassignment of owned assets. The vendor also describes scheduling and connected-account implications. Follow the current guidance for your actual product and plan. Do not assume disabling an account automatically reassigns every task, meeting or external connection.

Let an authorized administrator decide the change

Use an action appropriate to the actual system, such as reviewing a named user, sharing permission or connected-account ownership. Qualified staff should check session, token and recovery access where relevant. This public planner does not issue technical commands or replace the vendor’s administrator procedure. Do not paste credentials into an exported review sheet.

Removing access and deleting customer history are different decisions. Review ownership and retention before an action risks breaking an integration or losing business records. Keep an evidence reference for the chosen action so another administrator understands what changed. Account removal alone does not establish what historical data the vendor retained.

Check reported completion against the actual system

The first fictional row records a staff-reported CRM access action with a verification reference. The second row has the same reported status but no verification evidence. Its missing field remains visible in the worksheet. A filled reference still needs actual review. The tool does not test whether a former user is able to sign in.

Record the authorized verifier, review date and unresolved questions in your approved administrative records. Keep a separate action for open artwork shares when the CRM action covers only CRM access. Do not close every row because the departing employee returned a laptop. The required review depends on the access surfaces your business identified.

Keep the customer-facing handoff clear

After the access review, confirm the remaining estimator or project owner knows which conversations are due. HubSpot’s task documentation describes assigned owners, notes and record associations. Use the equivalent fields in your existing workflow. A customer should reach the current responsible person without staff having to reconstruct the former employee’s inbox.

BlueFinch’s dedicated advisor helps with its stated service scope, not an advertised security certification or universal CRM administrator service. Bring specific product questions to the appropriate vendor or qualified administrator. Download this worksheet to assign the review, then verify the actual actions and customer-work ownership before considering the handoff finished.
