Wrap artwork revision register
Keep requested changes and review status attached to a specific project and revision.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.
| Project reference | Artwork revision reference | Feedback or review question | Review status | Artwork approver reference | Approval evidence reference | Staff owner |
|---|---|---|---|---|---|---|
| Wrap-Example-1 | Artwork-v2 | Move phone number to rear door | Changes requested | Buyer-2 | Designer-A | |
| Wrap-Example-2 | Artwork-v3 | Review updated logo placement | Awaiting review | Advisor-B |
- Examples are fictional. Artwork stays in your approved file system.
- Required fields filled is not production approval. Review exact version, scope and evidence before release.
- A revision after approval needs its own review. Do not reuse the earlier decision without verification.
A customer approves a design, then sends another logo and a phone-number change. The designer updates the artwork while the installer still has the original file. An approval note without a revision reference leaves the team unable to identify which version the customer accepted.
The revision register above records project, artwork version, feedback, review status and approval evidence references. Starting rows are fictional examples. The tool stores no artwork and changes no production files. Its field check is a handoff aid, not proof a design is ready to print.
Use with this guide
Connect wrap approvals and payment evidence
Keep the accepted scope linked to revisions and invoice references.
Map fleet approval contacts
Separate artwork approvers from buyers and vehicle handoff contacts.
Collect wrap installation photos with clear customer permission
A photo approved for the customer’s project record is not automatically approved for your next advertisement. Record the intended use before publishing.
Plan a fleet-wrap reorder follow-up by vehicle instead of account size
A large account is not a confirmed reorder. Link each proposed conversation to the vehicle, current artwork and buyer’s stated need.
Use wrap-shop reviews to identify communication gaps before installation
A comment about unclear scope or scheduling needs a source check and a staff action. A theme label alone is not evidence of a production mistake.

Check your own costs: calculate your effective processing rate or upload a merchant statement for analysis.
Give each revised design a distinct reference
Use a stable project code and a new revision reference whenever the artwork changes. Record which vehicle and coverage the revision describes. Keep the actual files in your approved design system. A CRM note should point to the current file, not create another uncontrolled copy. Avoid filenames such as final-final when several employees need to identify the accepted version.
Keep earlier versions available under your documented retention process without making them appear current. If the customer requests a logo change after approval, record a new review step. The previous approval still belongs to its earlier revision. Do not silently move the approved label to a file the customer has never reviewed.
Record feedback as a specific task
Describe each requested artwork change. Move phone number to rear door is a different task from customer unhappy. Assign a staff owner and next action. If the request is unclear, confirm the change with the authorized project contact before revising the file. Resolve conflicting instructions instead of asking the designer to guess.
HubSpot’s task guidance describes due dates, assigned users and links to customer records. Use those fields to review your current process. A task completed means the assigned action happened. It does not establish customer approval for the resulting artwork. Keep the review decision separate and link the exact revision under discussion.

Connect the decision to the person and version
Record who handles artwork approval for the project and where the approval evidence lives. Keep the revision reference, approval date and accepted scope together in the project system. If several people provide feedback, confirm which contact makes the final decision. A driver forwarding a file is not automatically the person approving production.
HubSpot’s association documentation describes linking contacts to company and deal records. Your CRM needs enough relationship detail to identify the correct project contact. This article describes no BlueFinch design-software connection, file archive or electronic signature service. Keep approval evidence in the system your business uses for customer-approved scope and production decisions.

Check the production reference before printing
Compare the intended production file with the accepted revision. Review the vehicle reference and scope too. An approved design for one van does not describe a second model with different coverage. The fictional register includes one requested revision and one awaiting review. Neither is a released production job. Missing references should trigger a review, not a guessed status.
Choose a documented production handoff owner and retain the decision in your operational system. The public worksheet lists fields needed for a review, but it does not inspect artwork or verify approval evidence. Filling an approval reference with a filename does not prove its contents. Open the underlying record before authorizing the next production step.
Treat later changes as new decisions
If a requested revision affects coverage, material, price or schedule, connect the design review to the current quote. Record the customer decision through your normal scope-change process. Avoid treating every artwork edit as commercially insignificant. The project record should explain which work is included before the installer or billing team uses an earlier approval.
BlueFinch’s dashboard gives owners the functions described on its product page, not a complete wrap production workflow. Keep the design register with the project system your staff trusts. Export this worksheet for a handoff meeting using internal references, then save the reviewed outcome in approved business storage. Entries in the browser disappear on reload. The exported CSV is your responsibility to retain appropriately.
