The short version
- Use card volume from the merchant statement, not total sales.
- Count the full bill before calculating the rate.
- Review three months and explain unusual charges.
- Compare proposals against the same payment mix.
Body shops often compare a quoted percentage with total repair revenue. That hides the real rate when insurer checks and ACH payments never touch the merchant account.
A statement worksheet for separating the advertised rate from the complete card-processing bill. For this review, use one recent body shop sale and the payment record that followed it.

Body Shops Effective-Rate Worksheet
Enter one statement period. Nothing is saved or sent.
- Settled card volume: example input 54000
- Complete processing fees: example input 1912
Open the live page to change the inputs. The calculation stays in the browser and uses only the values entered.
Rebuild the rate from the statement
Using the default worksheet values, body shops with $54,000 in settled card sales and $1,912 in complete fees would calculate an effective rate of 3.54%. Replace both figures with numbers from the same statement period.
The advertised percentage is one line in a larger bill. A body shop needs the complete processing cost and the settled card volume from the same period. Dividing by total revenue gives a false answer when cash, ACH, checks, financing, insurer money, or open invoices are mixed in.
For body shops, the boundary matters. Do not count insurer checks, insurer ACH payments, financing proceeds, or other non-card receipts as card volume. Include only the money that actually runs through the merchant account.
Run auto body shop effective processing rate audit through one real transaction
Calculate an auto body shop's real effective processing rate from settled card sales, statement fees, gateway costs, equipment charges, refunds, and adjustments.
A statement worksheet for separating the advertised rate from the complete card-processing bill. Do the review with a completed body shop transaction instead of a clean sales demo. Keep the original amount, payment method, customer-facing terms, change history, receipt, settlement record, and any later adjustment on the desk.
- Auto Body Shop Effective Processing Rate Audit, estimate and authorization check: Put the payment choices on customer-facing estimates before work is authorized, not only on a sign beside the terminal. Name the screen, document, and staff owner used at this point.
- Auto Body Shop Effective Processing Rate Audit, deductible or deposit check: Record who paid, how they paid, what the money applies to, and whether the amount is refundable under the shop's written policy. Name the screen, document, and staff owner used at this point.
- Auto Body Shop Effective Processing Rate Audit, supplement check: When the approved repair changes, keep the customer balance, insurer amount, invoice, and payment request synchronized. Name the screen, document, and staff owner used at this point.
- Auto Body Shop Effective Processing Rate Audit, delivery and refund check: Match the final invoice, terminal, receipt, release record, and any later refund to the same transaction history. Name the screen, document, and staff owner used at this point.
Use the Body Shops Effective-Rate Worksheet
Open the tool with the source reports beside you. Enter the statement's settled card volume and complete fees in the worksheet. The result shows the all-in percentage for that month. Repeat the calculation for two more months and explain any large swing before averaging the results.
- Settled card sales for the exact statement period
- All fees withdrawn or invoiced for that activity
- Refunds and chargebacks shown on the statement
- Separate gateway, software, or equipment bills
- A note for annual or unusual charges
Body Shops statement audit workflow
Run the review through one recent body shop transaction. The table follows the industry's normal handoffs, but the team should replace each label with the document or screen it uses.
| Decision point | What to check | Why it matters |
|---|---|---|
| Estimate and authorization | Put the payment choices on customer-facing estimates before work is authorized, not only on a sign beside the terminal. | Attach the statement audit record at this stage. |
| Deductible or deposit | Record who paid, how they paid, what the money applies to, and whether the amount is refundable under the shop's written policy. | Attach the statement audit record at this stage. |
| Supplement | When the approved repair changes, keep the customer balance, insurer amount, invoice, and payment request synchronized. | Attach the statement audit record at this stage. |
| Delivery and refund | Match the final invoice, terminal, receipt, release record, and any later refund to the same transaction history. | Attach the statement audit record at this stage. |
Records for the statement audit
Save these records while the transaction is still easy to trace. Waiting for a refund, cancellation, failed payment, or dispute turns a short filing job into detective work.
- Statement cover page and fee summary
- Deposit report used to reconcile card volume
- Separate invoices tied to payment acceptance
- The calculation for each month
- Questions the provider answered in writing
What BlueFinch would verify for body shops
BlueFinch would compare every proposed percentage and fixed charge against the same body shop payment mix. Monthly, debit, PCI, gateway, batch, chargeback, software, and other account-specific costs may remain.
The current BlueFinch offer includes a standalone terminal at no charge, no equipment lease, no long-term contract, and no cancellation fee. Eligible configured credit-card transactions can carry a 0% merchant processing rate after the state, network, acquirer, written price display, and payment channels are reviewed.
Questions business owners ask
Should total business revenue be used in the effective-rate formula?
No. Use settled card volume from the merchant account. Do not count insurer checks, insurer ACH payments, financing proceeds, or other non-card receipts as card volume. Include only the money that actually runs through the merchant account.
What if an annual fee lands in one statement?
Show it separately or allocate it consistently across the comparison period. Do not erase it, and do not treat one unusual month as typical.
When should body shops stop this review and ask for help?
Stop when the statement, written price, customer document, terminal behavior, or receipt does not agree. The processor or acquirer should approve the exact setup before the body shop launches it.
