A waitlist invitation is not a confirmed consultation. Record the actual slot offered, the permitted contact route and the response milestone communicated to the customer. Keep administrative scheduling separate from clinical triage. Your front desk needs to know which offer is active, which has a verified response and which requires the next approved action, rather than booking several people against one unresolved slot.

Define the offer before contacting the customer
Check if the requested time slot is still available and check the administrative eligibility criteria that was used to put the customer on the waitlist. Note: administrative eligibility criteria should not be confused with clinical suitability criteria for treatment of a condition. Only administer scheduling details via the front desk / scheduling system and keep all clinical details and questions separate to scheduling.
Record the terms and conditions of the offer, as well as the actual response time communicated to the customer. A response deadline should originate from within the organization’s scheduling process, not from a default waitlist rule. Staff should have the same understanding of what constitutes a held versus available slot for a given waitlist invitation. The nonclinical consultation pipeline guide distinguishes an inquiry, offer and actual booking.
Use the permitted contact route
Check the recorded contact preference and relevant suppression records before the proposed invitation. A waitlist phone number does not establish unrestricted SMS promotional consent. Use the business’s reviewed communication policy for the actual scheduling task. FTC commercial-email guidance covers its own marketing requirements and opt-outs, not every text-message or healthcare communication situation.
The offer register tracks Waitlist Reference Number, Slot Reference Number, Administrative Eligibility Reference Number, Permitted Channel Reference Number, Communicated Response Time, Offer Status and Owner. The worksheet contains fictional codes only and no clinical information. The worksheet is for organizing review of scheduling and does not send out a notification, book an appointment or decide suitability.
Distinguish a fictional invitation from acceptance
Suppose a fictional office offers a consultation slot with a communicated response milestone of 3 p.m. The message is delivered, but the customer has not accepted. The row should show the offer awaiting a response, not a confirmed booking. The example supplies no recommended response period, real customer history or promise that a waitlist message fills unused capacity.
At the recorded milestone, check the actual response and slot state before the next action. If the customer replies after the offer has expired under the communicated procedure, review current availability rather than promising the old slot remains theirs. A calendar change also needs its relevant deposit or commercial review. Keep any accepted credit allocation separate from the invitation history.
Keep the waitlist current after the decision
Record acceptance, decline, expiry or another verified outcome using the actual system’s supported process. A customer asking a question is not necessarily accepting the offered appointment. Assign the next owner for an unresolved response and retain the communicated milestone. Do not treat a closed CRM task as evidence the scheduling system reserved the slot successfully.
Review recurring unused offers by their actual administrative cause, such as incorrect availability, an unclear response window or a permitted-channel gap. Use records before claiming better fill rates or bookings. The owner needs a current waitlist and one accountable next action, without clinical triage performed by a marketing workflow or an invitation reported as revenue before any verified collection. Use the inquiry staff-coverage sheet when the usual scheduling role is unavailable.
