A card-dispute notice needs an owned deadline and a controlled evidence review. Retrieve the actual provider notice, identify the response route and assign the payment administrator. Keep clinical information out of the public planning tool. Your office should know which commercial facts are required, who reviews their permitted use and how submission will be verified, rather than collecting every customer detail into an unrestricted folder.

Read the actual notice and response route

Identify whether the notice is an inquiry, a formal dispute or another provider event. Retrieve its stated due date and supported response instructions. Do not impose a universal number of days from a blog example. Different notices need their actual account-specific review. Record an internal preparation milestone separately so staff understand the provider deadline has not changed.

Link the notice to the payment, invoice and commercial agreement under which it was generated. Check for any prior refunds, credits or attempts that may have been left un-resolved. A cancelled appointment and/or corresponding accounting credit does not necessarily mean that a refund has been provided by the provider. Keep a record of payment references etc in secure storage. The med-spa commercial dispute-evidence guide separates accepted billing facts from unrestricted clinical records.

Assign the evidence and privacy review

Ask the authorized administrator which nonclinical commercial evidence addresses the actual notice. Required information and permitted disclosure need the med spa’s designated professional and privacy review. This article does not determine which health records are appropriate to disclose. Use coded references to approved evidence and keep source documents inside controlled storage with the relevant access restrictions.

Your response register should list out the notice reference, the provider’s deadline, your internal review deadline, the commercial evidence reference, the disclosure-review reference, the submission confirmation and who owns the task. Remember, your public worksheet is to plan and set tasks for your staff, not to be submitted as a response to the provider’s notice or to certify that documents are permitted to be submitted. The provider notice, approved review and actual submission record establish what actually happened.

Use a fictional deadline without making a rule

Suppose a fictional provider notice states an October 28 deadline and the office sets October 26 for internal review. The earlier date is the business’s preparation milestone, not a new network rule. The register should retain both and show an unresolved submission until evidence confirms it. The example contains no actual customer, recommended universal deadline or predicted dispute outcome.

Stripe’s response documentation explains its supported submission process and limitations on final evidence submission through the Dashboard. Use the actual instructions for the account handling the dispute. An internal draft saved in a CRM is not provider confirmation. Do not assume staff will be able to add missing documents after final submission or that one completed worksheet guarantees the claim will be decided for the merchant.

Verify submission and track the later result

Note the date the provider confirmed the Office’s response. Keep the event of the submission separate from the event of the decision. And keep the decision separate from any funds movement. If the response to a notice remains unresolved near the deadline for the notice as defined by the provider, use the procedure and people already assigned to handle the notice.

After the decision, reconcile its actual commercial and accounting effect without changing the original payment history. Review whether the office met its preparation milestone and which evidence handoff was unclear. Your owner needs a traceable response and a factual outcome, not a clinical dossier circulated through marketing tools or a claimed dispute-win improvement without verified records. Check the verified refund-status register before treating an earlier correction as completed.
