When a member needs to update a payment card, send them through the account’s supported payment-update route. Do not ask for the number, security code or a card photograph in a text message. Track the nonclinical handoff and verified completion separately. A message sent to the member does not prove the payment method changed or authorize a new membership charge.

Find the supported update route
Determine how the membership account for actual memberships handles replacing payment methods. A booking system, payment processing system and membership ledger can each store references to supported payment methods differently. Find out the current process for replacing payment methods and who in staff is authorized to complete this task. A generic card-update link provided by another payment processing provider is not supported.
Only use the supported process to verify where payment-update information will be sent to by the provider (e.g. a secure online portal). Do not copy and paste card information into membership admin systems or enter into public workbooks or CRM systems used for nonclinical marketing tasks. Sensitive information entered by a customer should only be handled by the administrator within the approved process for handling said information within the business. The med-spa card-on-file review separates a supported saved method from later charge permission.
Keep the office task separate from payment authorization
Determine the appropriate collection question for the new payment method (e.g. amount of membership, term of membership, date to begin collecting charges). Document the reference to the appropriate agreement that has been accepted by the member without including any treatment details. Nonclinical billing questions should be answered by front office. Clinical questions should be routed through the appropriate care process and not added to a payment-update note.
The update worksheet records the membership reference, agreement version, approved update-route reference, staff action, member handoff status, verified provider result and office owner. Use internal codes only. It does not collect a card, send a secure update link or certify payment compliance. Filled fields organize the handoff. The actual provider record establishes whether the update succeeded.
Test completion without recording credentials
Use the provider’s supported safe test procedure with fictional records where available. Verify what the office sees after the customer completes the update, including the membership reference and relevant recurring-payment status. Do not test by charging a real person without permission. Confirm whether the account distinguishes the method update from the next scheduled collection, and record any unresolved software dependency.
For a fictional membership, the office sends an approved update request on Monday and the provider result remains unresolved. The row should show a sent handoff and no verified completion. It should not report the card updated or the next payment collected. The example contains no actual member record, provider guarantee or universal completion timetable.
Resolve exceptions through the approved channel
If the supported request expires or fails, retrieve its actual state and the provider’s next instructions. Check whether the previous request remains active before sending another one. Keep contact preferences and opt-outs separate from the payment administration task. A billing relationship does not establish unlimited promotional SMS permission. Use the business’s approved communication policy and current requirements for the proposed message.
Close the task only when the administrator verifies the supported result and records any remaining collection question. The FTC’s information-security guidance recommends keeping only necessary sensitive information and limiting access by business need. Those practices support the workflow but do not certify a med spa’s compliance. Your owner needs an accurate handoff without card credentials scattered through inboxes or unrelated clinical information in a marketing record. Use the membership price-transition register if the proposed update also changes the commercial amount.
