A membership price change needs more than a revised amount in billing software. Retrieve the current agreement, the proposed transition and the required commercial review. Record which customers have the supported acceptance or notice evidence relevant to the actual terms. Keep the payment transition separate from promotional messages and clinical decisions, rather than treating a successful email delivery as permission for every future charge.

Retrieve the current agreement and proposed change
Identify the accepted membership version, existing amount, collection schedule and relevant change terms. Ask the qualified reviewer to determine the applicable requirements for the proposed transition. This article does not supply a universal notice period or decide whether silence constitutes acceptance. Different agreements and requirements need their actual review rather than a generic checklist declaring every price increase valid.
Define what changes besides price, such as billing timing or an accepted nonclinical benefit. Keep clinical suitability and care decisions outside the commercial register. Preserve the old and proposed versions so staff explain the actual transition. Do not silently replace the old terms in the CRM and describe the edited file as the agreement every member previously accepted. The membership cancellation and renewal review addresses the actual agreement before a transition.
Distinguish notice, delivery and supported acceptance
Also note down the required communication and the approved channel as described in the reviewed process. It is important to note that sending a message, getting delivery confirmation of that message and the member’s decision (based on the content of that message) in response to that message are all different events. Also note that a member’s contact preferences and promotional opt-out settings need to be reviewed separately from the process for sending a billing notification.
The transition register consists of Membership Group, Current Agreement, Proposed Price Change, Relevant Requirements, Required Communication, Approved Transition and Owner of the transition. Internal codes and non clinical wording have been used for this register. The register does not send notices, gain consent or update recurring payments. The underlying Agreement, Review and Source records remain responsible for these actions.
Read a fictional transition without inventing permission
Suppose a fictional membership changes from $90 to a proposed $100 under a reviewed future transition. The office has sent the required communication but its supported acceptance question remains unresolved. The row should show the outstanding decision, not an automatically approved $100 collection. The example describes no real member, BlueFinch price or standard renewal rule.
If the customer declines or asks to cancel, route the request through the actual reviewed membership process. Do not label the person opted in merely because a saved card remains on file. A payment token is not a substitute for the required agreement or authorization. Preserve the original record and keep any approved refund or credit as a separate commercial decision.
Verify the billing handoff before the transition
Ask the administrator to test the actual supported configuration using safe fictional records. Confirm the new amount, effective collection milestone and agreement reference align. Check whether old scheduled attempts remain active before changing another system. Do not assume every booking and payment platform synchronizes a membership edit, and do not collect twice because two records show different versions.
Post transition, reconcile all collected funds with all approved actions and assign any remaining issues to owner. FTC’s commercial email guidance relates to marketing communications and opt-out requirements and does not apply to a universal rule for membership price changes or SMS permission. The payment-method update handoff keeps a replacement card separate from commercial approval.
