Model assumptions

  • All starting values are fictional examples, not quoted prices or industry averages.
  • Use one consistent period and actual written terms. Unknown costs are unresolved, not zero.
  • Only aggregate amounts belong in this public tool. No card, bank, customer or health information.

Read alongside these results

  • No unused-credit profit, instructor costs, attendance or expiration decision.
  • Treat membership renewals, failed collections and refunds separately.

For a Pilates or yoga studio, allocate processing cost to the class pack or membership collection before comparing prices. A ten-class pack creates one sale and several future visits. Ten drop-in payments create ten collections. Fixed transaction charges make those patterns different even if the total collected is identical. Attendance records and payment records answer separate business questions.

Start with a defined collection group. Choose one class-pack offer or one membership billing cycle, not a mixture of unrelated purchases. Record the collected amount, number of payments and classes or visits included. Keep refunds, unused credits and complimentary attendance separate. Your allocation should describe the chosen offer rather than pretend every member attends the same number of classes.

membership collection and decline model

Use the membership collection and decline model for failed renewals rather than treating every scheduled payment as collected.

package cancellation and expiration review

Keep the package cancellation and expiration review separate from this fee allocation.

Define the collection group

Use the class-pack allocation model to enter payments collected, pack price, included visits, percentage processing cost and per-payment charge (if any). A fixed service cost can also be allocated to this group (e.g. to track the service costs for direct debit or web payment gateway setups). The model then reports the total collection cost for the group of allocations, as well as the cost per included class credit (or visit). Note the model does not track attended seats, unused-credit profit, teacher cost, studio cost or break-even point for your studio.

For an illustrative group, 20 buyers purchase a $200 ten-class pack. At a hypothetical 2% plus $0.10 per collection, total processing cost is $82 on $4,000 collected. The group includes 200 class credits, giving $0.41 processing cost per included credit. These values are fictional inputs. They are not studio benchmarks, BlueFinch rates or a claim every credit will be used. Use the membership collection and decline model for failed renewals rather than treating every scheduled payment as collected.

Compare packs with separate payments

Compare the same $200 collected as ten separate $20 payments under those hypothetical fees. The percentage charge stays $4, but fixed charges total $1 rather than $0.10. Collection cost becomes $5 for the ten payments, compared with $4.10 for one pack payment. The $0.90 difference is arithmetic, not a reason to sell prepaid commitments your studio cannot fulfill.

Also make sure you are checking the correct channel rate (e.g. rates for online pack sales, counter top for drop-in classes, stored card for membership sign-ups). these can vary. Square publishes different categories of in-person and online transactions and also lists plan-dependent rates. Reference the rate that you are actually paying in your account online. A recurring debit does not necessarily cost the same as a tap at the front desk for example.

Check channel rates and renewals

Keep the membership renewal process outside a class-credit calculation. Identify the renewal authorization, payment schedule, cancellation handling and recorded contact restrictions. A failed membership payment is a collection issue, not proof the member stopped attending or canceled. Use the existing membership payment model for decline and recovery scenarios, with observed account outcomes instead of invented industry percentages.

Credits can have different expiration dates, and all unredeemed credits, whether paid for by cash, check or credit card, should be tracked in their own separate ledger. All payments, refunds, and credits, whether for a single class or a whole pack of classes, are recorded. The calculator above does not have a way to track expiration dates for credits or to calculate when a business recognizes revenue from a prepaid offer.

Retain credits and approved customer prices

If replacing processing, map the booking calendar, pack balance and membership arrangements first. Ask whether the new service supports your existing software and how the connection is tested. A payment device working beside the reception computer does not prove a class credit updates automatically. Record the manual steps and the staff owner responsible for correcting an exception.

Compare any dual-pricing proposal against the offer customers see before purchasing. Confirm the approved program, channels and remaining account costs. Do not add a credit-card surcharge to debit or prepaid payments. Ask how existing renewals and accepted package prices are handled. Changing a terminal should not quietly rewrite the price of a pack your customer already purchased. Keep the package cancellation and expiration review separate from this fee allocation.

Use the allocation in the offer review

BlueFinch reviews payment arrangements for owner-run wellness studios. Its customer-loyalty product is optional and paid, with separate terms and activation requirements. A loyalty record is not automatically your class-pack entitlement ledger. Keep sensitive health histories out of ordinary business contact tools and use only aggregate financial inputs in the public calculator.

You give the completed allocation to the person who is pricing the offer and to the person who is reconciling the payments. Then you can compare the real collections with the allocated fees and check the total of all credits for this class. The processing allocation for a given collection vehicle answers one very specific question: what collection cost does this pack or cycle incur?
