A subscription overlaps another tool. Prove replacement before canceling it: evidence record
Resolve the scanner software check through feature evidence and full replacement cost rather than assumed free cancellation.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.
| Current subscription | Required feature | Observed usage | Replacement evidence | Remaining and one-time costs | Cancellation decision |
|---|---|---|---|---|---|
| Illustrative: software subscription | Required reporting export | Office uses monthly | Replacement export test pending | $15 monthly plus $240 one-time, illustrative | Do not cancel yet |
- The starting row is fictional and is not merchant evidence. Replace it with your verified internal record. Blank fields remain unresolved.
- Keep Yes, No, Not sure and Not applicable distinct. A reported answer is not an independent BlueFinch verification.
- Record one bounded check or decision per row. Add evidence dates and use unknown rather than zero when a value is unavailable.
- Do not enter card data, account credentials, customer information or private financial documents. Use internal reference codes.
- Filled fields do not establish completion, compliance, profitability or a revenue opportunity. Verify the actual acceptance result.
- Export deliberately to approved business storage. Browser edits are cleared on reload.

Two subscriptions can sound alike and still do different jobs. One may hold records your staff needs or offer an integration the other lacks. Before canceling either, compare how you use them, the features you need, and the replacement’s full cost.

Read the software check as an investigation
The Profit Leak Scanner asks if you’ve checked subscriptions for unused or overlapping features, including annual renewals and bundled services. It doesn’t inspect accounts or decide which bills to cancel. Answer No, and it creates a reconciliation task. Not sure means you’re missing information. Start with billing records and ask staff who use each product. A subscription may look inactive to you while an employee relies on one critical feature. Or an annual renewal may keep going after the original workflow ended. The assessment helps flag the review. It doesn’t replace it.

Define the job each product must perform
List the features, integrations, data exports, and access roles you actually need. Separate essential work from features that are just available. Then test an enabled replacement against those requirements using a safe, representative test. The business toolbox describes BlueFinch capabilities and eligibility, but a similar product name doesn’t prove it’s equivalent. Included tools have no extra software charge only under the applicable eligible package and scope. Payment processing and account-specific charges remain separate. Confirm written terms, usage limits, and connected services before you call a proposed cost zero. And don’t cancel a working service based solely on a demo screen.

Use a replacement-cost example
Suppose a fictional shop pays $80 a month for a tool. A replacement has no extra software charge in a confirmed package, but migration costs $240 upfront. You’ll still need the separate $15 monthly service for that workflow. So the comparable monthly difference is $65, not $80. Over twelve identical months, changing right away gives you $65 times 12 minus $240, or $540, before other unmodeled effects. These are made-up planning figures, not BlueFinch prices. Enter verified costs and assumptions in the Small Business Savings Audit. And if a proposal is blank, its cost is unknown, not free.

Protect continuity before ending access
Check the cancellation timing, renewal terms, export availability, and records the business must keep through its approved process. Before removing the old route, ask the responsible staff to confirm the replacement does the required job. Keep sensitive exports in authorized storage. Don’t upload them to a public worksheet. The SBA’s cost-benefit guidance counts recurring and nonrecurring costs, so include migration work instead of hiding it. A financial comparison alone doesn’t mean the operational change is ready. Keep a clear rollback or continuity plan that fits the actual service and the business’s needs.

Use the feature-and-cost worksheet
Record the current subscription, required feature, and observed use. Add replacement evidence, remaining recurring costs, and one-time costs before writing the cancellation decision. Count a bundled bill once, and keep feature notes with its parent cost record. Mark any unresolved integration or export questions clearly. An illustrative acceptance result may say “replacement handles reporting, but payroll export remains unverified,” which means it’s not ready for cancellation. The scanner keeps the cost scenario separate from unmeasured growth opportunities. Its role is to make the next review concrete, not promise that every overlapping subscription can be removed without consequences.
For an annual plan, track the renewal date and actual cancellation terms separately from the monthly equivalent you use for planning. Dividing the bill by twelve doesn’t mean you can leave month to month. If the contract runs past the proposed replacement’s start date, the simple immediate-change scenario may not represent the actual first year. Keep that limit visible, and calculate timing through an appropriate separate review.
