Customer permission to publish a wrap photo is separate from review eligibility and marketing contact preferences. Record each decision through its own approved process. A customer liking the finished design does not authorize every future use of the image or every promotional message. Your office needs a traceable publication decision without turning the photo handoff into a positive-review requirement.

Define the image and intended publication

Determine which photo you want to show in the approved photo, which channel (Facebook, Email, Website etc) you want to publish it in and what you plan to say in the post. For example a photo of a vehicle might contain the vehicle registration number, people in the photo, other brands or even private locations. Just because you have approved a customer’s vehicle for a finish does not mean that you have approval for all elements within a photo of that vehicle. This article is for information purposes only and does not establish any ownership or provide a model Property Release.

Keep the original permission record and any publication limits in the approved business system. If the customer permits one portfolio image, do not interpret that as unlimited advertising rights. Record any authorized removal or correction request through the actual procedure. The public worksheet needs only a photo reference and supporting record code, not customer identities or copies of private messages. The wrap installation photo-permission guide checks the proposed asset and publication scope.

Apply a neutral review-request process

A photo release should not determine whether a customer receives the public review option. Google allows genuine review requests but prohibits incentives and positive-only solicitation. Do not offer a loyalty credit for a favorable rating or make a review change a condition of service. Use the same documented neutral eligibility rule for the customers included in the ordinary follow-up process.

The permission register records the photo reference, proposed publication channel, photo-use evidence, neutral review eligibility, marketing preference reference, permitted next action and office owner. These are separate fields because the decisions are separate. A filled row does not certify legal rights, authorize a message or prove the review platform accepted a post. Keep actual contact and permission evidence outside this public tool.

Keep email and SMS preferences channel-specific

Check the recorded permission and applicable requirements for the actual message channel and purpose. A review request, service update and promotional campaign need their own analysis. FTC commercial-email guidance addresses email content and opt-out handling, not blanket text-message consent. Do not copy a photo-release checkbox into an SMS permission field simply because both decisions occurred at vehicle delivery.

For a fictional handoff, the customer permits a specific portfolio image and opts out of promotional email. The office records those two decisions independently and follows its neutral review-request rule. The photo approval does not reverse the marketing preference. The example supplies no real release language, legal assurance or customer statement. Qualified review should determine the actual permission wording used by the shop.

Review what was actually published or sent

Compare the image that was approved for publication (with all elements visible as approved) with the actual post that was prepared for publication. Check for any approved edits to the image. Make sure that the completed asset (completed image + completed post) is recorded. A different crop or even caption may require reapproval. Note that approval of a vehicle for a photo does not mean that the owner approves of the content of the commercial post. Work truthfully with the photos provided, and don’t create pretend customer approval in order to try to make a portfolio look better.

Record the completed publication or message action separately from the permission decision. Honor applicable withdrawal and opt-out handling through the approved systems. Review recurring gaps and improve the delivery handoff responsible for them. The owner should see which image has a supported use and which contact choice remains restricted, without personally reconstructing every conversation or promising every photo becomes a marketing lead. Use the wrap review communication guide to improve service without rewarding a desired rating.
