Prepare a fleet invoice for internal review

A completed repair and an approved invoice are different milestones. Check the payer, purchase order and submission route before a fleet invoice leaves your shop.

Choose Confirmed only after checking your records. Leave Unknown when a detail still needs an answer. Not applicable is available only for conditional requirements. Core unresolved items appear as blockers. Other unknown items appear as follow-ups. There is no numeric readiness score.

Ready for internal review means the core checks below are resolved based on your selections. It does not mean a payer has accepted the invoice, authorized new work or guaranteed payment. Your payer's written requirements govern the packet.

Who authorized the work?

Work authorization and approval to pay the invoice are separate questions.

  • The approved scope is documented. Keep the estimate or work order, approved labor and parts, and the record of approval together.
  • Changes have their own approval record. Match additional diagnostics, parts or labor to the revised amount and approval. Mark not applicable if the scope never changed.
  • The job and vehicle references match. Check the work order, unit or vehicle reference, service date and invoice against one another. Keep actual identifiers in your own records.

Who approves and pays?

Confirm the corporate payer's process before treating a driver's approval as permission to bill an account.

  • The paying entity is confirmed. Identify whether the customer, fleet operator, fleet management company or another named entity pays this invoice.
  • The payer's invoice approver is confirmed. Record the role or department authorized to approve the invoice and the route for questions in your own system.
  • Purchase-order requirements are resolved. Confirm whether a PO, authorization code or supplier reference is required. If required, confirm its amount and scope before submission. Mark not applicable only after confirming none is required.
  • Required supplier setup is complete. Confirm the payer's onboarding requirements through its established channel. Exchange tax or bank documents through the payer's approved secure process, never through this checklist.

What belongs in the packet?

Build the invoice around the payer's stated requirements, then check the supporting records.

  • The invoice matches the approval. Check billing entity, invoice number, issue date, line items, agreed price, tax and totals against your records and the payer's requirements.
  • Requested evidence is attached. Include the work order, scope changes, completion record and any other evidence the payer requested. Avoid adding unrelated customer information.
  • The submission route is confirmed. Verify the designated accounts-payable inbox, supplier portal or fleet platform. Record successful delivery or a portal reference.

How will collection work?

Resolve the timing and payment method before assuming the invoice will settle like a retail card sale.

  • Payment terms and the due-date trigger are agreed. Confirm the agreed due date and whether the clock starts from the invoice, completion or acceptance. Use the actual agreement rather than assuming standard terms.
  • The payment method and costs are confirmed. Confirm whether the payer sends ACH, check, card, virtual card or another method. Review your own acceptance costs and any agreed terms. A corporate payment method is not automatically free.
  • An exception and follow-up owner is assigned. Assign someone to confirm receipt, address rejected invoices and follow up on the agreed date. Keep payment-status notes with the invoice.
