An offline terminal storing a repair payment has not necessarily received an approved online result. Before releasing a vehicle, follow your provider’s offline rules and your shop’s approved release procedure. Record the device, payment reference, amount, upload deadline and responsible person. Treat an uncertain collection as uncertain rather than marking the repair order paid because the screen accepted a tap.

Confirm the exact device and offline feature

Offline behavior depends on the provider, hardware, application and payment method. Check the actual device and software version used at your counter. A backup cellular connection and offline acceptance are different arrangements. One restores online connectivity. The other stores an attempted payment for later processing. Ask support to confirm your setup before relying on a general sales claim about payments continuing during an outage.

Square’s offline-payment documentation illustrates the distinction. Supported offline payments process after reconnection, and the merchant bears the risk of expired, declined or disputed payments. Square lists hardware-specific session rules and unsupported payment methods. Do not carry one Square device’s deadline or supported features over to another terminal, or assume a keyed card number has the same offline support as a supported reader payment. Use the repair payment integration scorecard to document the invoice status staff should see after reconnection.

Record the unresolved payment before pickup

The offline-payment register keeps the repair-order reference, device, attempted amount, provider status, upload requirement, assigned staff role and release decision together. Record the provider’s actual wording. “Stored offline” should not become “captured” in the handoff. The tool uses internal references only. Customer contact details belong in the approved shop system, not a public browser worksheet.

Suppose an illustrative repair bill is $900 and the terminal stores a $900 offline attempt during an internet outage. Your reconciliation has one $900 attempted collection, not a confirmed $900 bank deposit. If the provider later approves the payment, update the collection record from the verified result. If the upload fails or the payment declines, the balance requires review under the agreed customer terms.

Protect pending device records during the outage

Follow the provider’s instructions for preserving pending payments. Square warns against actions such as signing out, deleting its app or factory-resetting hardware while offline payments remain pending. Its instructions are specific to supported Square products. Check equivalent warnings for your device before troubleshooting. A reset intended to repair connectivity might remove the only local record available for later processing.

Asking someone to reconnect to online status and then checking results is better than leaving this task to be done by last person to use the terminal. Make sure to note down the next review time and, if necessary, escalate to someone else. Even though a customer has received a receipt, it does not mean the status of the payment with the provider has been verified. Make sure to document the release exception by the staff role who commercially agreed to this.

Reconcile after connectivity returns

Check the uploaded transaction against the repair order and payout record. A successful upload, captured payment and available bank funds are separate checkpoints. Prevent another counter collection while the first attempt is still unresolved. If the customer returns with a bank screenshot, retrieve the provider record rather than guessing which entry represents the final outcome.

After the shop has re-opened, log details of the outage, the time that the terminal was without connection, the number of collections that were left uncertain and the action that were taken. Use this data to decide if a back-up connection or a clearer release procedure are needed. The offline worksheet does not approve of risk, guarantee a collection or replace provider’s terms and conditions. Its purpose is to highlight uncertainty until evidence is obtained. The batch and cash-availability planner separates captured payments from cash available for shop expenses.
