Tell a repair customer the refund status you have verified, not the status you hope the bank has reached. Shop approval, provider submission and issuer posting are different steps. Keep the original payment reference beside the refund reference, assign the next review and check for an existing dispute before another reimbursement. The worksheet below keeps those steps visible to the front desk.

repair payment dispute checklist

Check the repair payment dispute checklist when a customer has disputed the original collection.

old-account refund access sheet

Separate the commercial decision from payment status

When approving a refund, record the amount to be refunded and the reason for the refund in your shop system. Each of the following types of refund (parts credit, canceled work authorized to be carried out, duplicate collection) require supporting documentation for the commercial explanation for refunding the money to the customer. The provider’s acceptance of a refund request does not determine the commercial explanation for refunding the approved amount to the customer.

Stripe’s refund documentation distinguishes submitted refunds and statuses including pending, failed and canceled. It explains an insufficient available balance can leave a card refund pending. Those are Stripe-specific behaviors. Ask your actual processor for the equivalent status definitions and funding instructions. “Refund requested” in a staff note should not become “customer received money” unless the available evidence supports the change. Check the repair payment dispute checklist when a customer has disputed the original collection.

Give the front desk one current status record

In the Refund-status register you would insert the repair order number, the original payment reference number, the approved refund amount and reason for refund, the provider’s refund reference number, the refund status currently verified by the shop, the next review date and the member of staff currently responsible for the refund. Note that this register is for internal reference only and should not contain payment method details (card numbers, bank account numbers etc) nor customers’ contact information. Note also that these references must be retrieved from within the approved business system by authorized staff.

In an illustrative case, the owner approves a $240 refund, the office submits a $240 provider request and the request remains pending. The shop has one approved $240 obligation and one unresolved $240 attempt. Sending a second $240 because the customer has not seen the first credit risks double reimbursement. Check the existing request and provider instructions before choosing another action.

Write an update the evidence supports

A useful customer update states the approved amount, whether the request has been submitted, the verified provider status and who owns the next review. Share only the information appropriate for the actual payer through the agreed contact channel. Do not post a payment explanation in a public review reply. The customer’s frustration does not remove the shop’s responsibility to protect private records.

Avoid a guaranteed arrival date unless your provider has supplied a reliable basis for the particular case. Stripe explains card issuers handle refunds to expired or canceled cards and that a refund sometimes fails. A request to refund a different card is therefore a provider question, not permission to overwrite the original destination. Ask support to confirm the proper process and retain the answer.

Resolve failures without creating another open case

If the provider reports failure, find the stated reason and confirm whether funds returned to the merchant balance. Check any active dispute against the original collection. Stripe notes a pending refund and a dispute can create duplicate reimbursement risk. Keep the commercial obligation open while the authorized staff role resolves the payment route. Do not erase the first reference when the shop takes a supported corrective action.

Close the row when the provider outcome and the repair-order balance agree. Record the final reference and the customer update. Review unresolved refunds at the office meeting, especially those awaiting funding or support. This gives the front desk a defensible answer without making the owner repeat the investigation on every call. A completed register is an operating record, not proof of the customer’s private bank posting time. Use the old-account refund access sheet when the original payment belongs to a retired processor.
