A technical clarification was approved by your engineer contact. The invoice still needs the correct purchase-order reference and current billing submission instructions. Sending every document to the last person who replied leaves the next employee guessing who handles payment.

Use the invoice handoff checklist above to connect internal order and invoice references with the current billing instructions. Its rows are fictional. The tool checks whether staff supplied required planning fields and exports a CSV. It creates no invoice, verifies no balance and collects no payment.

Use with this guide

Map the buying and billing roles

Keep the technical contact separate from invoice submission.

Assign the unresolved billing question

Connect the next response to its source owner.

Review online-payment readiness

Compare activation and payment methods with the account’s requirements.

Machine shop card fee audit: separate commercial invoice costs

Audit machine-shop card fees against gross captured sales, settlement deductions and separate debits. Calculate effective rate and average collection cost.

Machining invoices: compare ACH and card total costs

Compare ACH and card costs for machining invoices using quoted percentages, caps and handling costs. Review timing, authorization and buyer payment terms.

Machine shop payment software: run an integration acceptance test

Test machining invoice references, partial collections, refunds and payout records across payment software. Export an integration acceptance evidence sheet.

Machine-shop ACH receipts: resolve missing invoice references

Match an unidentified machine-shop ACH receipt to the approved invoices. Use the remittance worksheet to record payer evidence, allocations and unresolved differences.

Prototype deposits: reconcile the production-order transfer

Transfer a prototype payment to a production order only after reviewing the accepted allocation. Use the deposit ledger to avoid counting the same collection twice.

Find the order supporting the invoice

Start in the system holding the accepted commercial order. Identify the order, accepted revision and related purchase-order reference through your normal billing review. A requested quote is not an accepted order. A changed drawing does not automatically establish changed commercial terms. Ask the responsible staff to resolve mismatches before treating an old reference as the correct invoice basis.

Keep the actual invoice and supporting documents in your accounting or order system. This worksheet needs reference codes, not amounts, bank information or customer files. A clear reference lets billing locate the source without recreating the order history in a marketing dashboard. Record an unresolved mismatch as a next action rather than filling the gap with an assumed number.

Confirm who receives the submission

Separate the purchasing contact, technical contact and accounts-payable route. HubSpot documents associations among contacts, companies and deals. Use those relationships in your own CRM to find the current role, then confirm the actual submission instructions. A familiar name or company domain does not establish approval to change payment details.

The first fictional row has the purchase-order reference and billing instructions held in its source record. The second needs the billing route checked. Leave the gap visible until someone resolves the question. Do not distribute sensitive invoice details to historical contacts in the hope of a response. Use the buyer’s verified address, portal or other designated submission process.

Give unresolved instructions a staff owner

Assign a person to confirm the missing reference or billing route. Give the task a review date and record the question being asked. HubSpot’s task guidance includes an assignee, associated records and notes. Those fields describe internal work, not the buyer’s payment due date. Keep agreed payment terms in the actual commercial records rather than inventing them from a callback deadline.

Update the business system after submission. Sent, received, disputed and paid are separate events. A payment receipt still needs the shop’s normal matching process before staff call an invoice settled. The exported checklist establishes no customer acceptance, approved supplement or waived discrepancy. Return to the source record when the status needs clarification.
