- Fictional stages and dates. This tool reads no CRM.
- Intervals use entered calendar dates. A negative task interval means the entered task date is before the review date, not proof an unfinished task is overdue.
- Missing or invalid dates produce unavailable intervals. Event dates after the review date need source review.
- No deadline alert or revenue forecast is generated. Update the actual records after verifying the source and agreeing the next action.
The same machining quote has appeared on the weekly sales list for three weeks. The estimator is waiting for a revised quantity, the buyer has not answered and nobody owns a dated next action. Another meeting reading the total supplies no new decision.
The weekly pipeline worksheet reviews the current stage, last supporting event, unresolved decision and assigned task for each opportunity. Its rows are fictional. Enter a review date to calculate elapsed event days and days until the next action. The free tool flags missing planning fields and exports the review list. No CRM is read or revenue forecast generated.
Use with this guide
Define owned RFQ stages
Give each commercial request a clear stage and staff owner.
Calculate outcomes from resolved quotes
Keep open work outside the resolved win-rate denominator.
Explore the business dashboard
Check the owner-workspace scope rather than assuming an ERP connection.
Browse the complete machine shop guides and worksheets.
Take one defined pipeline snapshot
Select the date for the review and the relevant opportunity records. Separate RFQs awaiting scope, quotes under review and accepted work using your documented definitions. List each distinct opportunity once. Three quote revisions for one buyer decision should not appear as three separate orders. Leave canceled or closed requests outside the open pipeline unless their actual status needs review.
HubSpot describes pipelines as stages representing a record’s place in a process. Your machining workflow needs its own definitions and current evidence. Confirm the platform features and plan available before promising automatic reports. A stage name alone does not establish customer acceptance, technical approval or available production capacity. The source record still governs the business decision.

Read the event supporting the stage
Date the last meaningful event beside each current RFQ or quote reference. Scope received for estimating review, a reviewed quote sent and a buyer’s commercial question describe different events. Record what happened and when. Opening the record does not refresh the event date. Explain the change and the decision still needing an answer at the weekly review.
Use one review date for a defined weekly snapshot. In the fictional example, the October 14 review is 13 days after the October 1 event and 22 days after the September 22 event. The first task is due on the review date. The second task date is one day later. Neither interval identifies a lost opportunity or verifies whether a task is complete.
Leave the review with an owned action
Assign the unresolved decision to the person with the answer. The estimator reviews changed scope, and the account owner obtains the buyer’s response. Scheduling confirms timing through the appropriate process. Record the action and internal date agreed by staff. The worksheet’s task date is no promised ship date or payment deadline and supplies no evidence of completion.
HubSpot’s task guidance supports assignees, dates and record associations. Use comparable fields in your own CRM so the action survives the meeting. Keep a next task open when another answer remains necessary. Sending a follow-up does not resolve the buyer’s decision. Update the outcome after reviewing the response, then preserve the commercial source reference.

Separate the review from a revenue forecast
Quoted amount, accepted order value, delivered work and collected revenue describe different events. Follow your established commercial and accounting records for each. Do not assign a probability based on how confident an employee feels during the meeting. A pipeline total with unresolved scope is not spendable cash or proof the shop has filled its schedule.
BlueFinch’s business dashboard is an owner workspace with its published product scope. It is not a machining ERP, live sales-CRM connection or production forecast. Review the demo before changing the systems your staff use. Download this free checklist using internal codes and update the real records after the meeting. Browser edits clear on reload. The useful result is an owned decision list, not an invented sales forecast.
