The buyer emails a revised drawing for a part your shop already quoted. The subject line stays the same. A note saying drawing received leaves your estimator with two questions: which version changed, and does the quoted price still describe the requested part?

Use the revision linkage checklist above to connect the part, drawing revision, quote version and review outcome. The example rows are fictional. The tool stores reference codes, not drawings. Its missing-field indicator identifies gaps in the handoff, not whether a design meets technical requirements.

Use with this guide

Identify the buyer and technical contact

Send the revision question to the person responsible for the decision.

Check current quote terms before follow-up

Keep a changed scope separate from an old timing promise.

Review the BlueFinch dashboard

See the available owner workspace without assuming a machining ERP or drawing archive.

Prepare a first-article customer communication handoff

A report being ready is different from a customer acceptance decision. Give the next update an owner and an agreed requirement reference.

Protect customer drawings when evaluating a machine-shop CRM

A private-sounding file label does not describe who opens the link. Ask about the actual storage and access behavior.

Describe the question the revision creates

Record the change needing review in plain language. Quantity changed, drawing revision changed and finish question unresolved are different estimating questions. Assign the appropriate employee to inspect the actual package. Do not declare a tolerance or material unchanged from a short email summary. Your qualified staff need the source documents to answer the technical question.

The fictional checklist includes one new revision awaiting review and one package with a missing quote reference. Neither row releases work. Record the review outcome in your operational system and use its reference here. Filling a text field with reviewed does not verify the documents. The planner helps staff identify what to open and who owns the next decision.

Keep the commercial revision visible

If the review changes scope, price or delivery terms, identify the new quote version through your normal process. Retain earlier versions with their corresponding drawing packages so staff understand which terms applied at each point. Avoid changing the quotation number’s contents without an explanation when the buyer already holds a copy.

Keep quote acceptance separate from technical review and production release. Ask the appropriate customer contact to resolve commercial differences before treating the new package as unchanged work. This article supplies no universal release rule. Your customer agreement and operational process govern the actual decision. The worksheet does not authorize the estimator to bypass required review.

Assign the unresolved step

Name the staff owner, next action and review date in the project system. HubSpot’s task documentation describes owners, dates and associations with records. Use those fields as a checklist when evaluating your CRM. No BlueFinch connection to HubSpot or a CAD system is promised. Keep the task connected to the specific RFQ instead of an unrelated company note.

For a shift handoff, open the quoted revision and the newly received revision together in the approved system. Confirm where the review outcome will be retained. A colleague should identify the current part, quote and missing decision without searching every attachment. Update the next action when the review closes, with a reference to the actual outcome.

Verify what reaches production

Before using the package for a production decision, check which revision the shop’s release record identifies. An accepted quote alone does not inspect the current file. Keep superseded documents clearly separate from current work under your own document process. If the references disagree, resolve the mismatch with the responsible staff member rather than choosing the newest filename.

BlueFinch’s dashboard is not a confidential drawing repository or machining ERP. Review its product scope for the available owner tools. Use internal codes in this free worksheet, then export a handoff and save confirmed decisions in approved business storage. Browser edits clear on reload. The CSV does not contain or validate the source drawings behind its references.
