Wellness nonclinical CRM field-selection review
Assign a destination/source question without copying customer records.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.
| Generic field definition | Business task | Destination and access question | Field-review status | Qualified field-review source | Review owner | Internal review date | Next source check |
|---|---|---|---|---|---|---|---|
| Preferred class contact route | Route scheduling questions | Proposed customer task queue / access review | Reviewed in source | Field-review-W17 | System-review-role | 2026-10-20 | Inspect the actual purpose and staff access source |
| Free-text health history | Proposed general customer export | Destination suitability unresolved | Reviewed in source | Qualified-review-role | 2026-10-21 | Obtain field and destination review without copying values |
- Fictional examples. Enter generic field names and internal references, not customer information or health histories.
- Filled fields identify source gaps and do not authenticate permission, attendance or approval.
- The tool sends no messages and changes no membership, appointment or website.
- Reload clears edits. Download only to approved business storage.
Start with the task your staff needs to perform. The proposed customer export includes health histories because the source system offers those columns. A general class follow-up queue does not need to become a second health record before anyone reviews the purpose, destination and access. Available information is not automatically necessary information for the new task.
Use the checklist to document generic field definitions and their evidence questions. The examples are fictional. Enter internal source references rather than customer values. The worksheet imports no records and approves no transfer. Prepare an owned review while private information stays in its authorized system under the business's actual access controls and approved handling process.

Choose fields for the named business task
Name the nonclinical business task before listing fields. Route a scheduling request, locate the relevant class or assign a callback owner. These questions differ from recording symptoms or assessing health suitability. A field being available in an export is not evidence it belongs in the proposed destination or is necessary for the task.
HubSpot documents task owners, due dates and associated records. Use equivalent fields to connect the business question with its responsible employee. This is a task-management example, not a claim BlueFinch connects HubSpot or replaces your scheduling system. Keep the task reference distinct from the original customer record and any qualified health-information review.

Review the actual destination and privacy scope
Look at the actual definition for each listed field. Notes might contain health information even though the surrounding data appears commercial. Review definitions in the authorized source without copying values into this public worksheet. Determine the destination role and appropriate permissions rather than assuming an employee login establishes suitable access or permission for every proposed use.
HHS scope guidance describes covered entities and information. A wellness-center name alone does not determine HIPAA status. Absence of coverage does not remove other applicable obligations. HHS marketing guidance addresses regulated uses, exceptions and authorization. Have the qualified reviewer assess the actual purpose and data flow rather than treating an ordinary marketing preference as permission for every use.

Resolve the fictional source gap
The first fictional row proposes a class contact route for a scheduling task and includes an internal review reference. The second labels a free-text health-history field reviewed but has no qualified source evidence. The worksheet flags the gap. These are generic definitions, not an actual customer export or completed assessment of the destination.
Assign the missing evidence check before planning a transfer. Obtain the field definition or inspect the destination and staff-access review through the proper process. Filling a reference does not authenticate the decision. If the question is still pending, retain that status instead of describing the proposed field as reviewed merely to finish the checklist.
Keep setup support and approved transfers separate
BlueFinch's dedicated advisor supports processing arrangements, account setup and available merchant tools. This support supplies no legal or medical advice and establishes no health-record integration. Confirm actual account access and product scope. Route health-information questions to the appropriate qualified reviewer rather than assuming software assistance includes every system or data use.
Download the field-selection checklist for the owner review. Begin with the unsupported health-history destination and inspect the source. Record any actual decision in its proper system. Keep approved transfers within the business's controlled process. A finished worksheet, export task or account setup does not itself authorize copying a health record into a marketing tool.
