An account has an active membership, but the customer has withdrawn from promotional texts. Which record should staff use for the next offer? Keep service-account status and message preferences separate. An active subscription answers a billing or access question. It does not settle permission for every type of message, channel or promotional purpose.

The checklist above connects a generic membership question with channel and preference-source reviews. Its examples are fictional. Enter internal references, not names or mobile numbers. The worksheet changes no account and sends no message. Use the output to identify the source still needing review before a separate authorized communication or membership decision.

Use with this guide

Review optional loyalty terms

Check activation, allowances and channel readiness.

Review the actual message purpose

A service account does not decide campaign eligibility.

Set up a wellness-center customer CRM without importing health histories

Start with the task your front desk needs to perform. Review the proposed field and access before copying a larger record into another system.

Price a wellness loyalty reward from its real fulfillment cost

Enter the real cost of fulfilling a reward once. Keep contribution, prepaid collections and later attendance as different business records.

Wellness family accounts: keep contact preferences separate

Keep each wellness household contact’s message preferences separate. Use the contact-role sheet without copying one person’s permission to another account.

Keep membership evidence in its proper record

When the team needs to investigate an account, use authorized access to its proper source. Keep membership status, renewal terms and entitlement evidence in that system rather than this public checklist. A closed callback task does not establish renewal. A pending billing question does not establish cancellation. The next employee needs the actual unresolved account question and source.

HubSpot documents task owners, due dates and associated records. Use equivalent fields to assign a source question and record what the next employee needs to inspect. Membership review and channel review need their own evidence. Neither task completion nor possession of a contact number establishes the customer's current marketing preference or permitted destination.

Read purpose and current communication preferences

Read the actual purpose of the proposed message. An offer for another class and instructions for an existing booking differ. The FTC's CAN-SPAM guide distinguishes commercial email from narrower transactional or relationship messages. Existing customers and members still have marketing opt-out rights. Assess the wording rather than making every membership-related message commercial or every account update exempt.

Review the current preference for the selected channel, including later withdrawals. HHS marketing guidance addresses regulated uses of protected health information with requirements and exceptions. Ordinary email or SMS preference does not authorize every health-data use. Have the responsible reviewer assess applicable scope and other obligations without treating a membership label as blanket consent.

Find the missing withdrawal check

The first fictional row contains a membership-source question and proposed email promotion with current preference and suppression references. The second concerns renewal and a proposed SMS offer but lacks withdrawal evidence. The worksheet flags that missing source. It does not assume an active account resolves the promotional contact decision or authenticates a completed membership review.

Obtain the current exclusion source in the authorized system. Do not rely on an old opt-in screenshot without its context and later changes. Record the specific next evidence check, such as inspecting a withdrawal history or confirming the proposed channel. A filled row identifies no legal permission and authenticates none of its source references.

Confirm the actual enabled service

BlueFinch's loyalty service is an optional paid add-on under accepted plan terms. Activation, message allowances, customer permission and channel readiness apply. Texting needs the applicable registration process. Confirm actual enabled features without assuming the service controls all memberships, connects every scheduling platform or includes unlimited messages by default for every merchant account.

Download the checklist for the account and campaign review. Resolve the missing withdrawal source first, then review the actual message purpose. Keep approved billing changes separate from approved sends. A delivered promotion does not establish renewed membership, attendance or satisfaction. Record those later events only when their proper source records support the outcome.
