Your email is labeled service update, but the subject and body offer a promotional return alongside class instructions. Read both together. A discount invitation differs from logistics for an existing booking, even when the recipient previously attended a class. The template name does not settle the actual purpose or permission for the proposed channel.

The worksheet tracks message references, intended purpose, channels and source questions. All examples are fictional. Use generic codes rather than contact lists or private histories. The tool sends no messages and approves no campaign. Prepare the evidence and wording review before a separate authorized send through the proper system, keeping recipient selection and delivery as distinct events.

Use with this guide

Review messaging availability

Permission and channel setup remain separate.

Check the current membership sources

Keep billing status outside the permission decision.

Browse the complete wellness center guides and worksheets.

Read the actual subject and message body

State the message's actual purpose without relying on its template name. An offer, scheduling change and account receipt answer different questions. The FTC's CAN-SPAM guide explains commercial-email responsibilities and narrower transactional or relationship categories. A prior purchase does not automatically exempt a promotion, and a membership does not remove the recipient's marketing opt-out rights.

For mixed content, have the responsible reviewer assess the subject line, placement and actual message under the applicable guidance. Do not assume adding service instructions gives a discount offer permission to use every channel. Keep necessary service questions separate from marketing eligibility and avoid making ordinary help depend on accepting a promotional contact preference.

Review the channel and supporting permission source

Inspect the current channel and preference source, including withdrawals. HHS marketing guidance addresses regulated uses of protected health information, exceptions and authorization. A general promotional preference does not authorize every health-data use. A wellness-center name alone does not establish HIPAA status. Review actual purpose, data flow and other obligations through the qualified process.

Keep clinical information outside the proposed campaign audience and public worksheet. A symptom in an intake note does not become a general marketing segment merely because a field is available. Use authorized nonclinical records for the reviewed purpose. Selecting recipients, approving copy and tracking the send remain separate events with their own evidence and responsible owners.

Resolve the fictional campaign gap

The first fictional row has current preference and suppression references for a proposed email promotion. The second combines a discount offer with service instructions in a proposed SMS message but lacks purpose/channel evidence. The worksheet flags the gap. A filled row does not certify permission or determine a legal classification for the actual message.

HubSpot documents task owners, due dates and associated records. Use equivalent fields for the missing review and next action. Inspect the final subject, offer and exit route rather than closing a task because a template was selected. Test an approved opt-out process through the controlled business workflow. A mockup link is not a functioning suppression record.

Keep sends, deliveries and attendance separate

BlueFinch's optional paid loyalty service requires accepted terms, activation and applicable message allowances. Customer permission and channel readiness still apply. Texting needs its registration process. Confirm enabled features before choosing the delivery route. Access to software does not authorize every campaign, guarantee delivery or prove an inactive customer will attend another class.

Download the purpose-routing worksheet for the campaign review. Resolve the missing channel source and inspect the actual wording before any approved send. Keep message authorization, recorded delivery and later attended visits separate. Use the source outcome if reviewing performance, without counting an attempted message, an opened link or purchased credit as a completed return visit.
