When weather delays a tint appointment, record who changed the schedule and what the customer accepted about the deposit. A shop-requested delay is different from a customer cancellation. Keep the original collection, revised appointment and approved credit decision connected. The front desk should not collect a second deposit because the booking moved to another date or the CRM created a replacement job.

Record the reason and the accepted schedule change

Retrieve the scope of work and the scheduling conversation for the original appointment as well as the revised scheduling conversation and verify who changed the appointment and why the appointment was rescheduled. A generic ‘cancellation code’ can sometimes get used for convenience and often leads to incorrect follow-up actions and/or incorrect deposit applications by bookkeepers.

Record the revised appointment in the office’s business system after verification with the relevant person that they have the relevant availability. For mobile and architectural work this may also mean a different contact for access and/or a different readiness check process. Only record the new dates that the shop has actually verified to be possible. Do not record installation conditions or completion dates that the shop has not verified. Use the tint rebooking credit ledger for the surrounding deposit and replacement-booking allocation.

Review the actual deposit terms

Read the accepted booking terms and applicable requirements before deciding whether to retain, transfer or refund a deposit. This article does not establish a universal weather-cancellation rule or a right to keep every payment. A provider delay and customer cancellation might need different treatment in the actual situation. Obtain the authorized commercial decision and retain its supporting reference before updating the balance.

The weather-reschedule sheet records the original job reference, delay reason, verified original collection, accepted replacement appointment, approved deposit decision, remaining collection status and office owner. Use internal codes. Keep customer contact details, card data and private agreements inside the controlled shop system. A completed row documents the handoff but does not create a booking agreement or prove the deposit correction has been applied.

Transfer an approved credit without inventing a receipt

Consider a fictional appointment with a verified $150 deposit. The shop delays the work and the accepted decision applies the same $150 to the replacement appointment. That is one collection allocated to the new booking, not another $150 receipt. If the current accepted job total is $450, the remaining balance is $300 before other reviewed adjustments. The example is not a BlueFinch price or a standard cancellation policy.

Make sure the original and rescheduled booking are not treated as if you’re collecting two separate deposits of money. Keep a record of the reference to the original collection and update the allocation of that money within the booking to the revised appointment. If instead you decide to refund the money to the customer then treat this as a separate event to amending a booking credit on a customer’s invoice and use the refund documentation from Stripe (for example) to see the separate status for this type of action and note the method used to return the money to the customer’s account.

Check reminders and the final collection

Review the actual reminder queue after moving the appointment. An old confirmation should not direct the customer to the canceled time. Check the approved contact route and channel requirements without treating the reschedule as permission for unrelated promotions. A service update and marketing campaign have different purposes. FTC commercial-email guidance does not establish blanket SMS consent for the customer’s phone number.

At the replacement appointment, compare the current invoice with the original deposit and remaining balance before collecting. Close the handoff from the accepted schedule, supported payment record and corrected booking allocation. Review recurring delays by their recorded cause and capacity effect. The owner needs to see which appointments moved and which payment decisions remain open, not a cancellation count mixing weather, customer requests and unresolved installation readiness. The booking-reminder outcome guide separates reminder activity from actual attendance.
