First-article customer communication handoff
Prepare the next update using the agreed requirement and current review record.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.
| Order and revision reference | Review requirement reference | Current report-package reference | Recorded communication state | Next-decision owner | Next update date | Unresolved question or action |
|---|---|---|---|---|---|---|
| Order-EXAMPLE-E-rev-B | Review-requirement-E | Package-E-v1 | Awaiting internal review | Quality-owner | 2026-10-14 | Confirm current report package in source system |
| Order-EXAMPLE-F-rev-A | Review-requirement-F | Package-F-v2 | Customer response pending | 2026-10-15 | Assign owner to obtain the recorded customer response |
- Examples are fictional and establish no inspection result.
- Follow the actual customer agreement and quality process.
- A completed row is a communication handoff, not production approval.
Your buyer asks whether the first article is ready. Staff have completed an inspection report, and the order also requires customer review. Sending the report and approving further work are separate events. Check the current requirement and identify who owns the next decision before replying.
Use the communication handoff above to record the order, review requirement, package reference and next update. The starting rows are fictional. The tool checks fields and exports references. It neither inspects a part nor accepts a report, changes an inspection plan or releases production.
Use with this guide
Keep the drawing and quoted scope linked
Identify the current package before discussing a changed order.
Identify the customer’s review contact
Keep technical and commercial roles separate where the order requires them.
Review the business dashboard
Check the published owner-workspace scope before changing your shop systems.
Machining samples: follow up on the purchasing decision
Follow up after a machining sample without assuming a production order. Use the purchasing-status sheet to separate technical feedback from commercial approval.

Read the inspection requirement in the order
Locate the accepted order and the inspection or customer-review instructions your qualified staff use. Record their reference instead of relying on the phrase first article in an email. Different customers request different deliverables. Confirm the part revision and order quantity under discussion before answering a timing question. Keep technical compliance review with the responsible quality team.
Xometry lists first-article reporting and build-and-hold inspection as separate options. Its published options illustrate why an inspection label alone does not establish a pause for customer acceptance. Your own customer agreement and quality process govern the actual order. This guide provides no universal inspection, sampling or production-release rule and does not claim conformity with an aerospace standard.

Identify the package the customer should review
Record the current report-package reference and approved storage location in your business system. Assign missing documents or questions to a responsible employee. A draft report is different from a package approved for customer delivery. Keep superseded versions separate from current work so an advisor does not attach an old file merely because the email subject matches.
The fictional worksheet includes a package awaiting quality review and another awaiting a recorded customer response. Neither row represents a passed inspection. A filled field means someone entered a reference. Open the source before telling the buyer the package is ready. Store confidential reports in approved systems, not in the public worksheet.
Give the unanswered decision a named owner
Ask whether the next action belongs to quality, scheduling, purchasing or the customer’s designated reviewer. Record the question and timing your shop agreed. A report sent by the estimator does not establish that the buyer received or accepted the required package. Your source system should retain the response and identify what decision follows.
HubSpot documents assignees, dates, notes and associations for tasks. Look for equivalent fields in your CRM. No BlueFinch manufacturing integration is promised. A task due date is a staff commitment to review or communicate, not a substitute for the inspection plan. Transfer the current package and unresolved question when another employee takes over.

Send an update describing the recorded state
Use plain status language supported by the record. Report awaiting internal review, package sent for customer review and response recorded mean different things. Avoid saying approved when staff only completed an administrative handoff. If the buyer requests a change, route the request through the appropriate commercial and technical processes before updating the promised next step.
BlueFinch’s dashboard has the owner functions described on its product page. It is not a quality-management system or confidential inspection archive. Export this free communication worksheet for the staff handoff, then record the actual review in approved storage. Browser changes disappear on reload. The worksheet sends no report or customer message and grants no permission to proceed with production.
