| Feedback source reference | Feedback source channel | Issue to investigate | Internal evidence reference | Staff action owner | Staff review date | Next staff action | Verification question |
|---|---|---|---|---|---|---|---|
| Feedback-example-1 | Callback ownership unclear | Handoff-example-1 | Advisor-A | 2026-10-14 | Review five pending callback records | Does each pending callback have one owner? | |
| Feedback-example-2 | Direct customer feedback | Estimate explanation needs review | Advisor-B | 2026-10-15 | Locate current estimate and pickup explanation | Can the next advisor identify the current scope? |
- Fictional issue examples, not customer statements. Use internal references only.
- Read available source feedback and actual service records before assigning a cause.
- A filled row or completed task does not prove improved sentiment or a resolved service issue.
- No reply is published and no review is removed. Reload clears edits.
A dashboard groups feedback under communication. Your advisor still needs to know what went wrong. Was the customer waiting for a revised estimate, a parts update or a pickup call? Read the source before assigning a new front-desk rule. Similar words do not always describe the same problem.
The action board above gives each issue a source reference, internal evidence reference, staff owner and verification step. The rows are fictional planning examples for a review meeting, not customer comments or outcomes. Use the board to organize the investigation. A completed row does not diagnose the complaint or prove a proposed change worked.

Read the feedback in context
Keep the platform, date and source reference with the theme. Read the complete available comment instead of relying on a summary label. Separate a complaint about the repair decision from a complaint about the callback. If the source is unavailable, mark the issue for review rather than treating an unsupported summary as established evidence.
Check related feedback for repetition, but keep each event distinct. A few comments do not establish the experience of every customer. Do not invent a quotation to explain the category. Record an internal paraphrase identifying the issue and retain the source reference for authorized staff. Avoid exposing private customer or vehicle information in a public worksheet.
Check what the service file records
Compare the feedback with the available estimate, work approval and callback records. The FTC’s repair guidance discusses written estimates and completed repair orders. Those documents provide context for the shop’s response. The absence of a callback record does not necessarily mean nobody tried to contact the customer. Record the gap as a question to review.
Ask the advisor what is known and what still needs confirmation. A promised pickup call with no recorded outcome needs a different follow-up from a customer who received the call but misunderstood the collection time. Do not assign blame from a theme count. Use the evidence to define the question the shop needs to answer.

Replace the theme with a specific staff task
Write an action with an owner and a review date. For the fictional callback row, Advisor-A will check pending callback handoffs and document the next decision. For the fictional estimate row, Advisor-B will compare the current quote reference with the explanation recorded for pickup. These are proposed reviews, not completed fixes.
HubSpot documents tasks with an assignee, due date, notes and associated records. Use those fields in your existing system so the next shift finds the same work. A task saying improve communication is too vague to verify. A task saying review five pending callback records for named ownership gives the employee a defined check.

Keep the reply separate from the internal investigation
Writing a polite response does not mean the complaint has gone away. Check the service outcome and agreed next steps before closing the assigned task. Acknowledge the issue publicly without publishing private repair details, then move account-specific discussion to an appropriate direct channel. Keep the reply draft and the internal investigation as separate pieces of work.
Google prohibits incentives for changing or removing a negative review and prohibits discouraging negative feedback. Keep any service resolution separate from pressure about the rating. If a review appears to violate platform policy, identify the relevant concern and use the platform’s review process. A low rating or disputed account does not guarantee removal.

Check the next handoff after the action
Define a verification step before closing the task. Review whether the selected records now have a named callback owner, current estimate reference or recorded pickup instruction. The action board keeps that question beside the owner and date. Filled fields show a review is organized. They do not show the issue disappeared or customers became more satisfied.
