Model assumptions

  • One eligible completed-visit cohort and a common audit date.
  • Eligibility does not select for satisfied customers or positive ratings.
  • Count the first request per visit, not message volume.
  • Unknown delivery confirmation is not a known delivery failure.

Read alongside these results

  • No published review, rating change or sale is inferred.
  • This audit describes Google requests. Other platforms need separate policy review.

A review request gets sent after a smooth pickup, then skipped after a billing complaint. The resulting review list reflects your selection process as well as customer experience. Give eligible customers the same neutral opportunity to leave genuine feedback, without asking staff to predict the star rating.

The Google review-request audit above tracks eligible completed visits, visits with a first recorded request and visits with recorded delivery confirmation. All starting numbers are fictional. Measure process coverage here, not published reviews. The worksheet does not verify customer identity, access repair records or send any customer messages.

Set eligibility without filtering for happy customers

Define the operational rule for completed visits and contact eligibility before counting the cohort. Apply the rule equally to positive, neutral and negative service experiences. Respect permissions and opt-outs. Do not decide whether a customer receives a public feedback opportunity from a private satisfaction score or an advisor’s prediction of the rating.

Google allows neutral requests for reviews reflecting genuine experiences. Its policy prohibits selectively soliciting positive reviews and discouraging negative ones. Keep the request separate from complaint resolution. An unhappy customer needs an assigned service response, and the public feedback opportunity should not depend on first declaring the complaint solved.

Ask for the experience, not a rating

A sample request for your own review is: Please share your experience with our repair shop on Google. Use a verified link to the correct business location. Do not add a discount, referral credit or prize for posting. Google prohibits incentives for reviews, revisions and removal of negative reviews.

Do not pressure customers to review while standing at the counter or tell them which employee or phrase to mention. Avoid a staff quota for collecting reviews. Google’s policy specifically addresses pressured on-premises requests, requested content and staff solicitation quotas. This workflow is not permission to copy the same solicitation into another platform. Review each platform’s rules separately.

Count visits instead of repeated messages

For this audit, one eligible completed visit is the counting unit. Record whether the first request was sent for each visit. Repeated messages do not add more covered visits. Retain your deduplication and contact-frequency rules so a repeat customer does not receive unnecessary requests. Link the audit to the completed repair-order reference in your approved system.

The example starts with 60 eligible completed visits, 48 visits with a recorded request and 42 with recorded delivery confirmation. Request coverage is 80%. Confirmed delivery covers 87.5% of requested visits. Twelve eligible visits have no recorded request. Six requested visits lack recorded delivery confirmation. Unknown confirmation is not proof of failed delivery.

Investigate the missing step

Review the uncovered records before adding automation. A missing usable contact, an opt-out and an advisor forgetting the request are different situations. If a visit should not have been eligible under your stated rule, correct the source list and rerun the audit. Do not erase an unhappy visit merely to improve the displayed coverage.

A delivered message does not mean the recipient opened the link, wrote a review or bought another service. Keep request and delivery evidence separate from public reviews. Do not attach customer identities to reviewer names by speculation. With no requested visits, the confirmed delivery rate is unavailable because there is no observed denominator.

Use review tools with a clear boundary

BlueFinch review management provides available Google and Yelp summaries, source-supported themes and a Google reply workflow requiring explicit approval. Availability depends on the connected profiles and source data. Google reply management does not imply Yelp publication. A flagged review does not establish a violation, and the platform decides whether to remove content.

Compare the product scope with the gap found in your audit. Use the approved repair system for visit records and keep an employee responsible for fixing missed steps. The FTC’s repair guidance describes completed repair orders and documentation. Those records help define a completed visit. A coverage worksheet is a staff process check, not a substitute for the service record.
