An unused wellness reward should not disappear from your ledger because a generic CRM expiry setting says so. Retrieve the benefit’s accepted terms and identify whether the record concerns a promotional reward, purchased class pack or gift balance. Those are different commercial populations. Ask the qualified reviewer to determine the actual requirements before changing an outstanding commitment or telling the customer the benefit has expired.

Identify what the customer received
You should ensure that any unused wellness reward has been matched against the terms of the offer that was communicated to the customer at the time that the benefit was issued as part of a program or purchase version of your wellness offering. This article does not establish any rules around expiry dates of wellness rewards or any entitlement to a refund in respect of any unused rewards and also does not deal with the accounting treatment of any of the rewards that have been issued.
Make sure that all issue, redemption and reviewed adjustments are recorded through the controlled business system. Customer contacts and private session notes should not be recorded in the public worksheet. Absence of a redemption record does not mean the benefit was not used , go back to the original source export. The wellness reward fulfillment-cost guide keeps advertised benefit value separate from actual cost.
Review the applicable terms and system behavior
Ask the authorized commercial or qualified reviewer to assess the actual accepted expiry condition. A software field named “expiration” does not determine the customer’s rights. Record the reviewed decision and the relevant source reference. Keep program changes separate from previously accepted benefits rather than replacing every historical term with the latest version.
The terms register records the benefit reference, benefit category, accepted terms version, issue or eligibility reference, verified redemption status, qualified expiry decision and owner. Use coded references and aggregate figures. It does not establish legal validity, calculate liability or delete rewards. Filled fields document the review handoff, not proof an expiry or reminder is permitted.
Keep a fictional category review separate
Suppose a fictional studio has ten unused promotional rewards and ten unused purchased pack credits. Equal counts do not establish the same expiry treatment. The office reviews each category under its own accepted terms and applicable requirements. A program setting applying to the promotional group should not silently remove the purchased credits. The example is not a real customer story or a recommended expiry policy.
You should retain a record of the original terms and decision with evidence to support the change that was made. Apply the platform procedure for updating benefits, and verify that the resulting balance on the client’s account is correct. The refund or accounting adjustment should be dealt with separately and be subject to the appropriate professional review, as an expiry of a benefit does not automatically translate into new revenue for the studio.
Communicate the reviewed result through the permitted route
Check the relevant contact preference before a reminder or status explanation. An unused reward does not establish unlimited SMS promotional consent. Explain the actual reviewed benefit without promised health results or unnecessary private detail. Google prohibits incentives for posting, revising or removing reviews, so a reward must not become compensation for a desired public rating.
Reconcile the accepted benefit population after program or software changes and keep unresolved terms questions assigned to an owner. Review recurring confusion to improve the original offer explanation. Your owner needs supported outstanding commitments and an accurate next action. Avoid claiming a worksheet enforces universal expiry, prevents every dispute or automatically synchronizes rewards across all wellness booking platforms. The review destination route audit keeps rewards outside neutral public-review eligibility.
