A yoga workshop below its attendance target needs two reviews: whether the event proceeds under its accepted commitments, and what the approved cancellation would cost. Retrieve ticket collections, instructor and venue terms, and the actual refund decision. Keep refund funding separate from retained expenses. A low registration count does not automatically establish the studio’s right to cancel or keep customer money.

Retrieve the accepted event commitments

Identify the approved workshop version, ticket terms and current registrations. Review the instructor, venue and purchased-service obligations through their actual source records. A minimum-attendance target is an internal planning assumption unless the accepted commitments support another treatment. Do not invent a universal yoga cancellation rule or promise staff can withdraw without expense because the class has not begun.

Ask the authorized commercial role to review the event decision and applicable requirements. Determine the approved customer refund population and any separate vendor cancellation response. Keep those decisions independent. A venue credit does not automatically reduce the refund owed to ticket purchasers, and an expected supplier refund is not verified cash available to fund customer corrections. The yoga workshop revenue-share settlement guide reviews instructor allocation under the actual agreement.

Separate retained cost from the cash needed now

Retrieve actual collected ticket money, verified refund amounts and available account balance. Review which processing or event costs remain under the real terms. A fee might be retained or credited according to the account’s actual pricing, not a universal provider rule. Record the evidence for each component instead of assuming every refunded ticket returns its original processing cost to the studio.

The cancellation worksheet records the event reference, approved refund population, total reviewed refund amount, verified available refund funding, reviewed retained provider cost, reviewed retained event cost and owner. Use aggregate figures and coded references. The worksheet does not cancel the workshop, decide entitlement or send refunds. It separates the financial questions for authorized review.

Work through a fictional cancellation budget

Suppose a fictional workshop collected $800 across ten tickets and the reviewed decision refunds the full $800. Verified available refund funding is $700, leaving a $100 funding gap for that approved correction. Separately, assume the reviewed retained processing cost is $24 and retained venue cost is $200. Those retained components total $224 in this example, not the $100 cash gap.

Do not confuse cancellation with closing a loss of $1,600. Adding the original amount of collection with the refund amount to a cancellation loss of $1,600 creates the false impression that the original amount collected plus the amount of the refund to customers equals a total loss for the studio of $1,600. Also, the retained-cost example does not include other expenses of the instructor, labor, etc. that are also reviewed and will impact profit. These numbers are only an example and should not be used to establish prices for providers or a cancellation threshold.

Verify refunds and vendor responses separately

Use the payment provider’s supported correction process and track actual statuses. Stripe’s documentation explains merchant-balance funding and distinct refund outcomes for its supported product. Your account needs its own instructions. A submitted refund does not prove customer receipt, and a vendor promising a credit does not prove funds are available. Assign each unresolved result to the appropriate office owner.

Explain the reviewed event decision through the permitted private contact route and preserve the accepted terms. After the supported outcomes, reconcile customer refunds and retained event costs separately. Review the original attendance assumption using verified registration and cost records before another workshop. The owner needs a supported cancellation decision and cash plan, without a calculator or worksheet presented as permission to ignore customer, instructor or venue obligations. The class break-even planning calculator provides a separate attendance model, not permission to cancel accepted commitments.
