When a body-shop refund fails, retrieve the exact provider status before making another payment. Check the original collection, approved refund amount and failure information. A failed refund is different from a pending refund or a refund the office never submitted. Keep the customer update tied to verified events while the authorized payment administrator resolves the exception.

Locate the original payment and refund attempt

Match the refund attempt to the customer or insurer collection, not merely the vehicle invoice. A repair might include several payment sources and partial corrections. Retrieve the original transaction reference, submitted refund amount and current provider status. Check whether another staff member already retried or issued a supported correction. An invoice credit alone does not prove money was returned through the payment system.

Stripe’s refund documentation distinguishes pending, successful, failed and canceled outcomes. The account balance and original payment method affect its refund process. Those details do not establish the same behavior for every terminal provider. Use the documentation and support route for the account holding the original collection. Preserve its stated failure information in controlled records without exposing private payment details. Use the supplier credit and customer refund guide to keep the two correction decisions separate.

Review the exception before choosing another route

Confirm that the payment decision that was authorized is still relevant to the currently outstanding amounts on the related invoice. The shop should recheck Insurer and customer specific collections, looking for overpayments that have not yet been corrected via refund, as well as card disputes and reversals on related card transactions that could re-duplicate the amount of the payment that was sent. Get the provider to explain the supported next step for the specific failed refund attempt.

Utilize the refund-exception tracker to document (1) Collection Reference for original collection, (2) Refund Attempt # for the refund attempt in question, (3) Approved Refund Amount for approved refund amount, (4) Verified Status for status verified by provider, (5) Provider Instruction # for the corresponding provider instruction, (6) Next Authorized Action for next steps, (7) Office Owner for the user responsible for tracking this. Codes only for those filling out the tracker. Card numbers, bank account numbers, claim documents and customer contact information must be stored in a secure, restricted storage area and only shared with approved parties. A completed row represents a task and nothing more.

Explain the verified status to the payer

Give the payer a specific update through the approved contact channel. State whether the refund failed, remains pending or has a verified completed provider status. Do not promise an issuer posting date unless the actual provider supports the statement. If another route is proposed, obtain the required commercial and provider review rather than asking for bank details in an unsecured email reply.

Consider a fictional $320 approved customer refund. The office submitted one attempt and the provider records a failed status. The register should show the failed attempt and unresolved next action, not $320 already returned. If a replacement action later succeeds, retain both references so the bookkeeper sees why the first attempt did not resolve the approved amount. The amount is illustrative, not a shop case study.

Close from the actual correction evidence

The payment administrator should confirm the final supported correction and update the invoice allocation. Record provider status separately from the payer’s report of bank posting. Preserve any relevant reconciliation reference and check whether processing or refund charges remain with the merchant. A completed refund does not guarantee every related fee has also been returned. Use the actual pricing and transaction records for that question.

Review open exceptions at a defined office interval. Escalate unresolved failures through the provider’s supported channel and keep the payer update owner visible. Do not erase failed attempts or publish private facts in a review response. The task is complete when the approved correction, provider evidence and shop ledger agree, with any remaining question assigned to a responsible person. The collision dispute deadline register keeps a related dispute visible while the refund exception is reviewed.
