A rental billing question should reach the person responsible for the answer, with a recorded next action. Your body-shop CRM should separate the repair customer, rental company and insurer contacts. Do not promise rental coverage or payment because the vehicle is still in the shop. Record the question, permitted handoff and responsible role while keeping the repair schedule accurate.

Identify which question the customer is asking

A rental extension request, a disputed rental bill and a query about completion date of a repair are all different issues that involve reference to different records and different decision makers. The shop has a recorded status of repair completion, the rental company has the copy of rental agreement and billing records and the insurer has the process to determine applicable coverage. Avoid consolidating these into one note and stating “rental handled”.

Ask staff to record the specific unresolved question in ordinary language. A customer asking who pays for another day should not receive a generic completion estimate in place of an answer. If the shop does not determine the charge, identify the appropriate contact route and explain the limitation clearly. Do not assign liability or coverage in a public planning worksheet. Use collision customer and payer mapping when the office needs to separate the contact roles.

Keep contacts and authority in controlled records

Use your approved business system to store contact details, claim numbers and customers’ permission to share information. In your public worksheet use references and role codes to refer to information already stored. A driver’s contact details do not automatically constitute the authorized billing contact for an insurer. Check what handoff is allowed by the agreement(s) and business process and ensure that is what you hand off.

The rental-question register is a simple tool to record the following information: job reference, question category, responsible organization role, permitted contact-route reference, current repair milestone, next action and office owner. Note that this tool does not require the recording of customer names, rental agreement scans or claim numbers. Instead, a short reference to the relevant protected information is recorded.

Send the repair facts without a payment promise

Provide the verified repair milestone and the next supported update. Distinguish an expected parts arrival from a confirmed delivery appointment. The person deciding a rental extension might need the actual uncertainty, not a more confident date intended to reassure the customer. When the schedule changes, update the controlled repair record before sending another message through the approved contact route.

Consider a fictional job awaiting a supplier’s revised parts ETA. The customer asks about three extra rental days. The office records the request, identifies the responsible rental or payer contact and provides the current repair status. It does not mark the three days approved or bill the customer without supporting instructions. The example illustrates routing, not an insurance coverage rule or a rental-price estimate.

Close the handoff from a recorded answer

Assign a next review date and staff owner. “Left voicemail” describes an attempted contact, not a resolved question. Record the answer reference when the responsible organization responds and update any authorized customer communication. Keep the commercial answer separate from a payment collected for the repair. A rental decision should not silently change the body-shop invoice balance.

Identify and discuss recurring routing problems with your staff at your next office meeting. Determine if staff has made incorrect assumptions about the organization(s) to contact, incorrectly stated the repair completion date, or failed to advise the customer of any additional updates to the repair. Make the necessary changes to the step as required. The repair-milestone update queue organizes the verified schedule facts used in the handoff.
