Recorded collision milestone update queue
Assign an evidence check and next update without predicting repair completion.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.

A customer calls about their vehicle while the estimator is confirming parts. The front desk still has last week's delivery target. Start the update from the recorded milestone, not the old date. Give the advisor a current source and a named person to resolve the next question.
The planner connects a repair reference, milestone, evidence and owned next action. Its examples are fictional. Enter internal codes instead of names or claim numbers. This worksheet sends no communication and predicts no completion date. Use the authorized repair-management record for the underlying decisions and actual customer conversation.
Use with this guide
Review owner-workspace scope
Check enabled tools and source freshness.
Separate scope and authorization questions
Keep each decision with its source.
Assign a supported communication issue
Connect feedback to an actual process review.
Separate the collision customer, insurer and rental contact in your CRM
Who asks about the car, who reviews the claim and who handles a rental question are different roles. Record the actual contact purpose before routing an update.

Record what happened and what is still unresolved
Use a verifiable milestone. Ordered parts are not received parts. Scheduling a subcontractor does not establish completed work. Keep pending actions visible beside completed steps. If the source is missing or outdated, assign that check first instead of replacing an unsupported date with a later delivery promise.
A customer update is separate from repair authorization. The planner changes no repair record and establishes no pickup readiness. California BAR's documentation guide addresses customer authorization and recorded changes to repair scope for California shops. It is a state-specific reference, not a national authorization template or substitute for the shop's qualified process.

Match the update to the customer’s actual question
Write the actual question for the next advisor. Asking when the next update will arrive differs from asking whether an added scope item was approved. Keep the conversation and preferred timing in the authorized record. Use a short nonpersonal summary here rather than copying a claim file into marketing notes.
When an established delivery target changes, identify the source needing review and the person responsible. Follow the customer's agreed update route through your existing process. A supplier's parts confirmation does not guarantee the shop's completion date. An insurer document response does not establish completed production work.
Read the fictional milestone handoff
The first fictional row has a parts-source reference and a customer question about the next update. Its owner needs to inspect the source before answering. The second row has a milestone review pending but no evidence reference. The worksheet flags this gap so the handoff starts with obtaining the missing source.
Keep the next task specific. Verify supplier information, obtain a production update or route the customer's question to its responsible reviewer. A generic call-customer task hides whether the advisor has enough evidence to answer. Obtain the missing source before expecting the next employee to promise a date.
Give the next update one responsible role
HubSpot documents task owners, due dates and associated records. Use equivalent fields in your actual CRM to connect an update task to the correct repair order. Name the unresolved question and the evidence needed. This public worksheet does not connect HubSpot or another CRM to the shop's production system.
Before a shift change, inspect open updates and avoid assigning conflicting answers about the same repair. Record which source was reviewed and who owns the remaining question. Completing a status call does not complete the work or prove customer satisfaction. Keep the communication outcome separate from the repair milestone.

Review the source before the dashboard headline
BlueFinch's dashboard is an owner workspace for enabled tools and available connected information. It is not a collision production-management system. Missing overview information does not prove no activity occurred. An old source is not live data. Check access, coverage and source dates before using an overview to answer a customer.
Download the queue for the next front-desk handoff. Start with the update missing a useful source, then obtain the evidence through the authorized business process. Keep actual customer communication in approved storage. The next advisor should see what was verified, what remains open and which staff role owns the answer.
