A rental coordinator asks about timing. The customer asks about a change to the work. An insurer contact asks for a claim document. One generic contact label leaves the next employee guessing who should receive each answer. Organize the purpose and source for the question before routing the conversation.
The role map uses a repair reference, contact role, decision purpose and evidence review. Its examples are fictional. Enter internal references, not names, policy numbers or rental agreements. The worksheet grants no document access and establishes no authority to approve work, decide coverage or release a vehicle.
Use with this guide
Prepare the milestone update queue
Connect the next answer to current evidence.
Separate estimate decisions
Keep customer scope and payer review distinct.
Review connected-source limits
Check the owner workspace before relying on its figures.
Organize body-shop delivery instructions with a clear customer handoff
Keep the actual repair summary, applicable care information and next service contact together. A planned handoff does not authorize release of the vehicle.
Body-shop rental questions: route billing to the right contact
Route collision-shop rental billing questions to the responsible contact. Use the CRM handoff worksheet without promising coverage or exposing claim details.

Name the responsibility instead of guessing from a title
Record the role for the particular repair, such as customer decision contact, claim document reviewer or rental coordination contact. Then state the question this role handles and the source staff need to inspect. One person might have several roles, while several people might share a coordination task.
California BAR's documentation guide provides a state-specific example of customer authorization for a particular repair job. The guide does not establish nationwide insurance requirements. Review applicable requirements and actual documents through the responsible staff process. A contact-role label is not evidence of legal authority or a substitute for the recorded decision.

Keep contact routing tied to the current repair
Keep the repair reference tied to the current authorized source. A claim reference, rental agreement and vehicle record have different purposes. Do not assume one identifier establishes all three or reuse a number from another job. Record contact changes and source versions in the system your team uses to manage repairs.
When someone takes over a matter, verify the current route before sharing documents. Identify who should receive the proposed information, which question they handle and what source supports that route. A name appearing on an earlier email does not establish current access or permission to receive every document.
Read the purpose and missing evidence together
The first fictional row routes a customer question through a documented decision-contact review. The second has a rental coordination question but lacks role evidence. The worksheet flags the missing source. Resolve this gap before assigning an answer based on an unreviewed rental term or assumed completion date.
A completed role map is not proof of approval. The responsible reviewer still needs to inspect the correct source and use the authorized channel. Keep customer decisions, insurer document responses and rental coordination distinct. Update the actual record through your normal process when contact details or purposes change.
Assign the answer to the person holding its evidence
HubSpot documents task owners, dates and associated records. Use equivalent fields to assign the internal owner of the unanswered question. A customer delivery question and an insurer document request need different source checks. State what the next employee must review before contacting anyone, instead of assigning a generic callback.
Keep the customer's actual question and time-sensitive update in the authorized record. Appearing in a claim discussion does not establish permission for a promotion. Do not add every insurer, customer or rental contact to one marketing list. Leave the next task unresolved when the source or contact purpose is still unknown.

Keep the owner workspace separate from claim systems
BlueFinch's dashboard groups enabled merchant tools and available connected sources for the account. The demo uses fictional data. The dashboard is not a universal repair-contact register or production system. Review account access and source freshness separately from the roles recorded for a particular repair.
Download the role map for the next front-desk handoff. Start with the row missing role evidence, then verify the proposed route in your current system. Keep sensitive details in approved business records. Aim for a supported answer from the appropriate staff role, while leaving customer, insurer and rental decisions separate.
