A delayed repair needs a useful customer update, not a review request intended to cover the delay. After delivery, use a neutral follow-up process across eligible customers. Keep unresolved service work visible and separate from the review request. Do not reward positive ratings or exclude unhappy customers from the public review route. Your office should know who owns the next repair question.

Separate the repair follow-up from the review invitation
Check the recorded delivery milestone and open service tasks. A returned vehicle, a completed invoice and a resolved post-delivery question are different events. The follow-up should address the customer’s actual need through the approved contact channel. If a trim fitment question remains open, assign the inspection or response to a responsible role instead of treating the review invitation as a substitute for service.
Decide the ordinary review-request trigger from a documented, sentiment-neutral process. A scheduling delay should not automatically remove a customer from the eligible group because staff fear a low rating. A request also should not imply the customer owes praise because the shop worked hard. Keep the invitation short and give the same public review route to customers selected through the same neutral rule. The neutral collision review-request guide explains the eligibility and platform-policy checks.
Follow the review platform’s actual rules
Google permits businesses to ask for genuine reviews, but prohibits incentives for reviews or their revision or removal. It also prohibits selectively soliciting positive reviews and discouraging negative reviews. Check the platform policy before adding a loyalty reward or survey gate. A private satisfaction survey should not decide which customers receive the public review option. Other platforms have their own policies.
The delivery follow-up sheet records the job reference, actual delivery milestone, unresolved service-task reference, approved contact route, neutral eligibility rule, next action and office owner. Use internal codes only. Keep personal contacts and claim information in the approved business system. The worksheet does not send messages, create consent or guarantee a platform will accept a review.

Use a message the customer recognizes
Refer to the completed repair and the office contact for a service question without revealing private details in a public channel. Avoid promising a reward, specifying a desired star rating or asking the customer to change a review before receiving help. If the message is marketing email rather than a purely service communication, apply the relevant requirements to its content and unsubscribe handling. SMS needs its own applicable consent process.
For a fictional handoff, a vehicle was delivered after a parts delay and the customer later asks about a trim fit. The office assigns the fitment question and retains the same neutral review eligibility used for other delivered jobs. The service task remains open until the responsible role records an answer. The example does not invent a customer statement or claim a review was posted.
Measure completed handoffs rather than star promises
Review delivered jobs, the eligibility criteria for review invitations, documented opt-outs from review invitations and any outstanding follow-up tasks for delivered jobs as separate records. A rising average rating does not necessarily mean that the review invitations have had a positive impact. Only publish an improvement claim with verified start and end points and with a description of the time period covered by the claim that is accurate. Describe the BlueFinch software tools that you use in terms of their current functionality and don’t mislead as to their potential to generate good reviews.
Also, when a customer leaves a review in a platform, such as Google Reviews, respond to it within the rules of the platform and never disclose any private information about a repair, payment or claim. Set up the process to deal with any disputes in the platform’s process for such. Update your office’s process for service handoffs that repeatedly fail after delivery of a vehicle. The customer needs an answer and the owner needs to be able to track it without the owner having to personally follow up on every review. Use the repair-status communication review to address recurring service themes without promising rating changes.
