A driver asks for the darkest tint while your advisor still needs the vehicle and windows involved. Another caller already has a quote but wants to compare two films. Sending the same follow-up to both wastes the conversation. Record the missing question and assign the person responsible for answering it.

The planner above connects an inquiry reference, requested scope, question, source check and next action. Example rows are fictional. This worksheet chooses no film and approves no legal shade. Use internal codes here, keeping the actual vehicle and customer details in your authorized shop records.

Find the quote the customer is discussing

Start with the current quote reference and the requested vehicle scope. A full-vehicle package and a request for two front windows are different conversations. Link any revised request to the version your estimator needs to review. Do not keep quoting the original scope after the customer changes the glass, vehicle or requested product.

Ask what prevents the customer from deciding. Price, product differences, installation timing and a question about permitted darkness need different answers. Record the question in ordinary language. A missed call supplies no confirmed loss reason. Leave the reason unknown until the customer or source record provides evidence.

Review the actual vehicle and applicable requirements

LLumar’s automotive FAQ notes permitted darkness varies by location. Treat this as a reason to check the current requirements relevant to the actual vehicle and windows. A manufacturer’s product shade or a customer’s request supplies no blanket legal approval. Identify the source and qualified staff review your business uses before making a compliance claim.

Keep the unanswered rule question visible beside the quote. Do not substitute a percentage copied from another state or promise an exception without the applicable evidence. This article provides no state-by-state legal determination. If the required review is unresolved, the next action is obtaining that review, not confirming installation of an unverified configuration.

Answer a product question with the correct reference

When comparing films, note which products the customer means and what information they want. Price, appearance and documented performance answer different questions. The advisor needs the current reference for that film. Keep the relevant qualifications with the answer. Do not use one product’s specification as the selling point for another package.

The fictional product-comparison row has a source reference and an advisor task. The second row needs a current requirements review before the shop answers its configuration question. Filling that reference later does not itself approve the quote. Have the responsible person read the underlying evidence and record the decision in your normal business process.

Give the next conversation one owner

HubSpot documents task assignees, dates and associated records. Use equivalent fields in your CRM to connect the follow-up to the right quote. Record the customer’s agreed timing where available. A task deadline is internal planned work, not a reserved installation slot or permission to contact someone repeatedly through every channel.

Before passing the caller to another employee, make sure the next advisor can locate the last scope discussed and its unanswered question. Leave a factual note rather than a pile of messages without context. If the customer declines or requests no further promotions, record the instruction through the appropriate preference process. Do not reset the lead as new.

Record the answer before changing the stage

Close the follow-up task with the actual result: an answered product question, revised scope, future conversation or declined offer. Use wording reflecting what happened. An answered question is not an accepted proposal. A requested appointment date is not a confirmed booking. Keep those decisions connected to their actual source records.

BlueFinch’s dashboard is an owner workspace, not an automatic vehicle-compliance checker or universal tint CRM connection. Download the planner for your staff handoff, then update the system holding the real quote. Review the unresolved question before sending another generic discount. The useful next step is a supported answer the customer needs.
