One inquiry concerns the front windows of a truck. Another concerns afternoon glare through large glass panels in an office. Both arrive through the tint form, but your estimator needs different information for the two requests. Route each question to the appropriate staff workflow before the same quote template loses the actual scope.
This intake worksheet records the inquiry type, scope, review source and responsible next action. The examples are fictional. The tool performs no product selection or compatibility check. Enter only internal references and nonpersonal summaries. Keep property, vehicle and customer details in the authorized business system.
Use with this guide
Review vehicle-specific intake
Keep the automotive scope attached to the right inquiry.
Review commercial proposal stages
Distinguish an assessment from accepted project scope.
Review owner-dashboard scope
Check enabled information before choosing a worklist.
Separate residential film follow-up from automotive tint campaigns
A building-film service question needs the installed product and property context. Do not route every customer into the same automotive promotion.

Record the work category without duplicating the customer
Give each inquiry a category matching the work requested: vehicle, building or unresolved. A customer asking about two projects needs distinct scope records connected to the correct person. Do not create several unrelated customer identities to represent the same caller. Keep billing, approval and site-access roles clear in the actual account.
Record the vehicle and glass scope before discussing automotive packages. For the building inquiry, record the project purpose and site information a qualified estimator needs. Reduced glare is a customer goal, not a complete glass specification. The caller’s description is an intake reference. Confirm measurements and the authorized installation scope through the appropriate project review.
Send product questions through the correct review
LLumar’s automotive FAQ discourages using automotive film on architectural glass. Its architectural FAQ directs customers to compatible product recommendations for their glass. These are manufacturer-specific reasons to preserve the application context. Do not assume a film suitable for one vehicle window belongs on a building because both customers asked for reduced glare.
Keep the actual product and glass references with the qualified review. The worksheet provides no engineering approval or universal film-selection rule. If staff lack the glass details needed for a recommendation, assign a site-information check. A complete intake form does not replace a manufacturer’s requirements or the installer’s appropriate assessment.

Separate queues when the decisions differ
A vehicle inquiry might move through intake, current quote review and scheduling. A commercial building project might require access planning, an assessment and proposal approval. Map your actual stages before buying another CRM configuration. Separate worklists help when the questions differ. Labels alone do not require duplicate sales processes.
HubSpot recommends separate pipelines for processes with genuinely different stages and documents account limits and permissions. Apply that reasoning to your shop. A shared process might need a category or assigned owner instead. Review what your current system supports before promising staff every inquiry will automatically appear in a new board.

Keep the unanswered intake question visible
The fictional vehicle row has an application category and source-review reference. The building row lacks the relevant glass or site evidence. That missing field is a task, not a rejected lead. Assign the appropriate estimator to obtain the information before choosing a product or supplying an installation price.
Record who owns the next action and when staff plan to review the evidence. HubSpot documents task assignees, dates and associated records. Equivalent fields support this handoff in your own system. The task should point to the right project scope so a vehicle advisor does not inadvertently answer a property proposal with automotive package details.

Review routing errors before changing every form
Ask staff which inquiries were assigned to the wrong process and why. A missing category, unclear service description and outdated staff assignment need different fixes. Record the actual error reference before redesigning the entire website. Confirm the corrected route with a sample internal inquiry and preserve the unresolved cases for review.
BlueFinch’s dashboard shows enabled owner tools and available sources. It is not a glass-compatibility database or automatic connector to every tint CRM. Download the routing worksheet for your team and update the actual customer process there. Keep the two application contexts clear from first question through the recorded proposal and staff handoff.
