A customer calls about an installed window film and asks whether the shop will replace it. The advisor finds a familiar name but no clear product or warranty reference. Start by locating the actual installation and applicable terms. A generic lifetime claim on a sales page does not answer this customer’s question.
The follow-up register above connects installation, product, terms, reported issue and next staff review. Its example rows are fictional. This tool evaluates no film condition and approves no claim. Use internal references, with the actual customer evidence and installation records kept in authorized business storage.

Find the product connected to the work
Locate the recorded installation reference, product and scope. A household might have several vehicles or a separate architectural project. Confirm which job the customer means before choosing warranty material. Preserve the original agreement and any documented product change. Do not guess the film from a picture or an advisor’s memory of the appointment.
Record the customer’s question through your authorized inquiry process. A reported appearance problem needs staff review, not a diagnosis from a marketing tool. Identify the evidence your procedure requires for the next decision. A scheduled inspection, completed reply and replaced film are different outcomes. Keep the current review status separate from each of them.
Read the applicable warranty and restrictions
LLumar’s automotive FAQ describes a limited warranty with restrictions. Its architectural FAQ says warranty details vary by product. These statements do not establish universal coverage for the films your shop installs. Find the applicable written terms, product and customer documentation before explaining who reviews the issue and what process follows.
Keep manufacturer coverage, any separate installer commitment and the customer’s actual agreement distinct. Do not promise free labor, transferability or replacement timing without support from the relevant terms and review. This article establishes no standard warranty duration or covered defect. Your staff need the actual evidence for this job.

Give the unresolved evidence a responsible owner
The first fictional row references the installed product and applicable terms. Staff still need to review the customer’s question. The second row is missing its terms reference even though the other fields are populated. Assign someone to retrieve the actual agreement before answering coverage. A completed field list is not a warranty decision.
HubSpot’s task fields include an assignee, date and associated record. Equivalent fields in your own system connect this review to the right installation. An internal due date is planned staff work, not a manufacturer’s claim-decision deadline. Confirm the real contact route if a supplier or another party controls part of the process.

Keep service support separate from a new offer
Answer the customer’s installation question before adding a discount campaign. A service reply and a promotion have different purposes to review. Keep preferences and applicable channel requirements with the actual communication process. A person asking about a past job has not automatically authorized every future marketing message.
Record the factual answer and remaining question after the review. A reply sent does not mean coverage was approved. A scheduled inspection does not mean the film was replaced. Preserve each real outcome in the responsible system so the next advisor has the source decision rather than a generic completed label.
Close the task with the actual decision reference
When an authorized decision exists, link the decision reference and explain the customer’s next step under your process. If the evidence is still unresolved, leave that fact visible and assign the next check. Do not erase the original question after a second employee takes over. The handoff should show which part remains open.
BlueFinch’s dashboard is an owner workspace, not a tint warranty claim engine or automatic manufacturer connection. Download the register for your internal review and update the actual installation file there. Keep coverage decisions with the qualified process holding the evidence. A filled worksheet supports a conversation but certifies no replacement obligation.
