Shared-inbox RFQ handoff checklist
Connect the thread, current scope and employee responsible for the next response.
No signup. Enter reference codes, add records and download a CSV. Entries stay in the browser tab. Filled fields do not establish completion, approval or compliance.
| Message thread reference | RFQ reference | Current scope reference | Staff owner | Next-action date | Next unresolved decision |
|---|---|---|---|---|---|
| Thread-EXAMPLE-1 | RFQ-A | Part-A-rev-B | Estimator-A | 2026-10-14 | Clarify requested quantity |
| Thread-EXAMPLE-2 | RFQ-B | New-revision-package-B | 2026-10-15 | Assign estimator to inspect received change |
- Examples are fictional. Enter no email contents or drawings.
- The worksheet reads no mailbox and sends no reply.
- Update the actual RFQ record after agreeing ownership and the next response.
Two employees see the same RFQ email and each assumes the other will respond. A later reply arrives with a different attachment. The original message is already marked read. Your inbox holds the history, but the record still needs an owner for the buyer’s next answer.
Use the inbox-to-RFQ handoff checklist above to connect a message thread to one request, current scope and staff owner. The example rows are fictional. The tool does not connect to email, scan attachments or send replies. It prepares a worksheet for your estimating handoff.
Use with this guide
Build an owned RFQ pipeline
Move the request through documented decisions rather than inbox states.
Link received revisions to their quotes
Keep the current scope reference available at a staff handoff.
Review the BlueFinch dashboard
See the available owner workspace without assuming a machining ERP or drawing archive.
Route a machining order status question to the person with the answer
Where is my order needs a source record and the right staff owner. An inbox reply is not a verified delivery update.
Machine-shop CRM access: close departing-user access
Review machine-shop CRM access after an employee leaves. Use the offboarding checklist for accounts, shared resources, sessions and controlled evidence references.

Create a request reference outside read status
Give the distinct project an RFQ reference in your quoting system. Keep a link to the relevant message thread in approved storage. A message marked unread does not mean the request has no owner, and a message marked read does not mean the buyer received an answer. Record the next decision in the project, not only in the email client.
Xometry’s production RFQ guidance separates files, manufacturing details and delivery requirements. Use those categories to inspect what the request still needs. Your own process might require another technical document or clarification. The public handoff checklist holds internal references only. Do not paste a confidential drawing package or personal contact information into the browser fields.

Choose one owner for the next answer
Assign someone to the unresolved question in the project and record the next action. A shared address still needs a named owner for each request. When someone takes over, transfer the scope reference and promised timing with the task. Do not send duplicate replies presenting different quote assumptions. Staff need the latest decision before answering the buyer.
HubSpot’s task documentation describes assigned users, due dates and customer-record associations. Those fields provide a checklist when reviewing the CRM you already use. No BlueFinch email-client or CRM integration is promised. This worksheet sends nothing to your mailbox. Its export supports a conversation about ownership before you choose another software tool.

Treat a new attachment as a review question
Record the drawing or scope reference received in the thread and compare it with the quoted package through your established process. A later attachment might update one part of a request, not the whole project. Name the employee responsible for resolving the difference. Keep the technical review in the system holding the actual documents.
The fictional worksheet includes one request waiting for quantity clarification and another needing a new revision checked. The missing owner stays visible in the second row. Filling the field does not inspect the attachment. Your estimator still needs the source package and the current quote to decide whether the change affects the requested work.
Review unanswered decisions at the handoff
Open active requests with the receiving estimator and identify which answer is still due. Review the owner, scope, next action and source thread reference. Close a task with a recorded outcome rather than because the inbox looks tidy. Keep the request visible if another employee still owes a decision. Count requests separately from messages when reporting the queue.
BlueFinch’s dashboard has the functions described on its product page, not a shared-mailbox RFQ engine or drawing archive. Keep operational history in the systems your team maintains. Export this free checklist using internal codes, then record the confirmed ownership in the quoting system. Browser entries disappear on reload, and the worksheet performs no external email action.
