An issued loyalty reward is not the same as a redeemed reward or a cash sale. Track the accepted unused benefits your med spa has promised, then review the commercial and accounting treatment with the responsible professional. Your owner needs to understand the outstanding commitment without treating every reward as another appointment, guessing expiry rights or forecasting clinical outcomes from a promotion.

Define the accepted reward population
Retrieve the documented program version and the benefits communicated when rewards were issued. Identify the qualifying event, accepted benefit and actual redemption record. Keep promotional rewards separate from purchased gift balances, service packages and refunds. Those categories might have different obligations. This worksheet does not determine legal expiry, refund rights or accounting liability for any specific program.
Review whether the benefit concerns a nonclinical purchase, discount or another approved offer. Professional suitability and clinical decisions remain outside the reward calculation. Do not promise an improved treatment outcome or encourage an unsuitable service to clear a promotional commitment. Keep private member details and clinical records in their designated systems rather than adding them to a loyalty cost spreadsheet. The med-spa loyalty-offer cost guide reviews an offer without promising a clinical result.
Separate face value, expected cost and cash movement
Record the stated benefit separately from the reviewed cost of fulfillment. A $20 promotional discount does not necessarily cost the business $20 in cash, and a service benefit needs its actual qualified commercial review. Avoid calling issued reward value revenue or treating redemption as a fresh card receipt. The accounting professional should determine the relevant recognition and reporting treatment.
The commitment worksheet records the program version, issued reward group, accepted benefit basis, issued quantity, verified redeemed quantity, unresolved unused amount or count and owner. Use aggregate figures and internal codes. It does not calculate a formal liability or verify eligibility. Filled fields describe a reviewed population and leave the actual terms and source-system records responsible for the decision.
Count a fictional unused benefit without assuming redemption
Suppose a fictional program issued 100 accepted promotional rewards and has 30 verified redemptions. With no other reviewed changes, 70 remain unused. If each states a $20 benefit, the stated unused face value totals $1,400. That is not automatically cash owed, fulfillment cost, recognized liability or future sales. The example is not a BlueFinch loyalty price or an industry redemption benchmark.
Do not remove the remaining rewards merely because they have not been used. Review the actual accepted terms and applicable requirements before an expiry or program change. Google prohibits incentives for posting, revising or removing reviews. A loyalty benefit should not depend on a favorable public rating, and a customer’s unresolved complaint should not determine whether a neutral review request is allowed.

Review fulfillment without pressuring members
Note: Identify the owner of the rewards for the commitment review and the qualified person to ask for the accounting/program terms questions. Keep contact preferences separate from reward eligibility criteria. The issued reward does not automatically mean SMS consent for unlimited marketing. Remember to only use approved channels for permitted reminders and fully disclose the reward benefit(s) without providing any sensitive information and making any false promises.
Reconcile issued, redeemed and otherwise reviewed changes using the same program population. Investigate duplicate redemptions or missing records through the actual system rather than deleting unexplained balances. Your owner should see outstanding accepted benefits and the next review task. Avoid publishing a savings, redemption or retention claim without verified records, and do not describe a worksheet as automatic loyalty integration with every med-spa platform. Use the gift and member-credit reconciliation guide for balances outside the promotional reward population.
