Separate PPF removal from replacement installation in the accepted scope and payment handoff. Record which stage has approval and which condition requires the installer’s review before proceeding. A customer asking for a new finish does not automatically authorize every additional preparation charge. Keep the current version and original collection visible so an evolving job does not produce a duplicate balance or unsupported promise.

Define the accepted stages of work

Get the recorded customer request and the installer’s review of the proposed work for removal, inspection, preparation and replacement stages that are relevant to the accepted scope of work. Use professional assessment and current product instructions for your technical decision-making. This article does not cover removal methods, inspect a substrate for preparation requirements or discuss warranty issues. A payment worksheet cannot inspect a vehicle for removal issues.

Record the work currently approved and the next decision needed if the condition differs from the accepted assumptions. Do not promise the surface will have a particular condition after removal without the supporting professional basis. The commercial handoff should explain how an unresolved issue will be reviewed, not silently convert uncertainty into permission for an unlimited charge. The tint and PPF package payment guide separates the accepted work from its collection milestones.

Keep revisions connected to the original invoice

Reference the stable job and previous Scope Versions for prior accepted Scope. When the installer comes up with another review point to seek approval for further work and charge the customer more, note what Stage you are currently on and seek Approval from the Customer for the new work prior to charging them for it. Do not confuse the payment method (e.g. Saved Card) with prior Deposits or even a prior Pickup Scheduling to try to charge more for additional work.

The staged-approval sheet records the job reference, accepted removal scope, replacement scope version, unresolved condition reference, revised approval, current collection allocation and owner. Use internal codes only. Customer contacts, vehicle details and private inspection records remain in approved controlled storage. The tool organizes the stage handoff and does not create consent, determine legal liability or issue a product warranty.

Calculate the accepted balance from its current version

For a fictional job, the current accepted total is $1,200 with a verified $300 deposit. The remaining balance is $900 before other adjustments. An unresolved condition is recorded for review, not automatically added to the invoice. If a later accepted change adds $180, the revised total becomes $1,380 and the remaining balance $1,080 after the same deposit. These figures are illustrative, not removal or replacement prices.

Keep the accepted change reference beside the revised total. Do not count another $300 collection merely because a new scope version was created. If one stage is canceled, review the commercial correction separately from the installer’s technical record. A refund needs its own supported provider action and verified status. Stripe’s documentation illustrates why a pending refund differs from an invoice credit, without establishing your account’s exact procedure.

Hand the completed version to pickup staff

Before final collection, compare the accepted current scope, completed stage record and payment allocation. Check which payment request remains usable after a revision and use the actual provider’s supported correction process. The advisor should have the current balance and approval reference rather than explaining an installer’s unresolved note as if the customer had already accepted another charge.

After pickup, keep any remaining technical question and payment correction as separate assigned tasks. Review recurring revision causes to improve the initial scope conversation and inspection handoff. Do not claim a procedure eliminates every dispute or guarantees surface condition. The owner needs a traceable sequence of accepted work, verified collections and unresolved decisions, with enough detail for another staff member to continue the job responsibly. The customer-supplied PPF scope sheet records another material dependency needing its own review.
